Job Description

PLEASE NOTE: This is a Hybrid position. It requires a blend of work out of our regional office hubs alongside various remote and field-based locations depending on the executive schedule.

The Mission: Why This Role Matters

At Omega Health Services, we are a mission-driven leader in supported employment, dedicated to empowering veterans, individuals with developmental disabilities, and those overcoming economic challenges to find true independence.

We are seeking a High-Caliber, Strategic Executive Assistant to serve as a "force multiplier" for one of our Regional Partners. This is not a traditional administrative role; it is a fast-paced, "on-the-move" partnership requiring an expert in logistical choreography, discreet gatekeeping, and proactive problem-solving. If you are a high-level operator who thrives on being two steps ahead, you belong on our leadership team.

Your Impact: What You’ll Do

The Executive Assistant acts as the Partner’s operational extension and trusted advisor across several critical domains:

  • Executive Time Mastery: Own and optimize a complex, high-velocity calendar. You will ruthlessly protect the Partner’s focus while navigating multi-stakeholder conflicts and shifting priorities.
  • Strategic Correspondence: Act as the primary filter for all communications. You will triage, draft, and ghostwrite in the Partner’s voice, ensuring high-touch responsiveness and a professional polish.
  • High-Stakes Events & Travel: Coordinate intricate domestic and international travel itineraries. You will occasionally travel with the Partner (approx. 5%) to manage logistics on the ground, take strategic minutes in high-level meetings, and ensure action items are tracked to completion.
  • Financial & Resource Oversight: Manage the executive office budget, process high-level expense reports with precision, and ensure all financial filings are compliant and timely.
  • Confidentiality & Integration: Handle a sensitive blend of professional and personal matters with absolute discretion. You are the "vault" for sensitive documents, financial data, and internal communications.
  • Special Projects: Conduct organizational research, design high-impact presentation decks, and manage cross-departmental deliverables to keep the Partner’s strategic goals on track.

Your Superpowers (Required Skills & Qualifications)

We are looking for a professional who pairs the foresight of a strategist with the composure of an elite coordinator:

  • Executive Experience: Minimum 5+ years of progressive experience supporting C-Suite (CEO, COO, Managing Partner) leaders. Experience in healthcare or highly regulated sectors is a significant advantage.
  • Technical Mastery: Advanced, fluent proficiency in Office 365 (Outlook, Excel, PowerPoint) and secure document management systems like SharePoint.
  • Education: A Bachelor’s degree is strongly preferred.
  • Flexibility: Ability to travel occasionally (approx. 5%) and maintain availability for critical after-hours communications to support a dynamic schedule.

Core Competencies We Filter For:

  • Strategic Foresight: The rare ability to anticipate needs, roadblocks, and solutions before they are ever articulated.
  • Impeccable Communication: The executive presence and confidence required to seamlessly interface with Board Members, external partners, and high-level leaders.
  • Resourcefulness: A relentless "find a way" mentality when faced with unexpected logistical or operational hurdles.

The Omega Edge (Why Choose Us?)

We believe in deeply investing in the professionals who power our executive mission.

  • Competitive base salary + Performance-based bonuses + 401(k) with company match.
  • Premium Health, Dental, Vision, Life/AD&D, and Long-Term Disability insurance.
  • Access to CAP/PACE certifications, elite leadership coaching, and university scholarships.
  • Generous "Earn-as-you-go" Paid Time Off (PTO), Paid Holidays, and Hybrid work flexibility.
