BAE Systems, Inc. is hiring an Executive Assistant with strong attention to detail and excellent communication skills to provide support to the Ordnance Systems, Inc. (OSI), Vice President General Manager in Radford, and senior team staff. This position will act as the administrative focal point and will be responsible for providing specialized administrative support for a variety of duties and tasks, as well as day-to-day coordination of meetings and travel. In this role, you will work on assignments that are complex in nature where independent action and a high degree of initiative are required in resolving problems and developing recommendations. Additional responsibilities and opportunities exist to support critical projects with other OSI Leadership Team members.

Responsibilities:
  • Support the VPGM and OSI senior staff as the administrative focal point
  • Assist with critical projects to support the leadership team
  • Manage communications with executive level internal and external customers
  • Manage all aspects of receiving and screening all forms of communication as required
  • Maintain a variety of soft and hard copy records/files that involve company sensitive data with the highest level of confidentiality and tact
  • Maintain the VPGM’s complex calendar, arrange meetings and appointments
  • Maintain and track meetings and other action items through completion
  • Coordinate, facilitate, and provide support for various conferences, meetings, and events with a high degree of tact and diplomacy
  • Manage meeting and event logistics and connections, including catering
  • Coordinate highly visible meetings with domestic and international visitors
  • Develop PowerPoint presentations for quarterly business meetings and others documents as required
  • Coordinate extensive domestic and international travel for the VPGM and OSI senior staff
  • Manage travel arrangements, expense reporting, and procurement card reconciliation
  • Maintain office supplies in support of successful operation for the OSI team
  • Perform general administrative duties including but not limited to typing, copying, collating, stapling, preparing packages for delivery, filing, recordkeeping, and data entry
  • Other duties as requested
