The Executive Assistant, Innovation will serve as a trusted operational partner to the Chief Innovation Officer and the Innovation leadership team, enabling them to focus on what matters most.

Job requirements

  • 5+ years’ experience in an administrative support role to a corporate Senior Leader.
  • Maintains a high degree of professionalism, diplomacy, and discretion in all internal and external interactions.
  • Detail-oriented self-starter with experience supporting senior executives or teams.
  • Strong business acumen with 
  • Strong business acumen with the ability to exercise independent judgment and discretion on matters of significance; able to assess priorities, make autonomous decisions, and act on behalf of leadership with confidence and accountability.
  • Proactive, resourceful, and passionate about taking on new projects and ideas.
  • Team player with a proven ability to build collaborative relationships across functions and jurisdictions.
  • Excellent organizational and project management skills.
  • Solution-focused and energized by team success, able to remain positive when faced with setbacks.
  • Agile in adapting to shifting priorities.
  • Advanced proficiency in Microsoft Office 365.

Job responsibilities


· Manage the Chief Innovation Officer's complex calendar, including prioritizing and scheduling meetings, appointments, speaking engagements, and travel (domestic and international), with a high degree of judgment around competing demands and time zone considerations across North America, Australia, and Europe.
· Organize and prepare for meetings by gathering documents, creating agendas, taking minutes, and coordinating logistics.
· Organize and facilitate Innovation team meetings, offsites, workshops including logistics, materials, participant coordination, and post-meeting follow-up.
· Track project progress, ensuring deadlines are met, stakeholders are informed, determining when escalation is required, ensuring deadlines are met, and exercising discretion in how issues are communicated and resolved to keep business operations on track.
· Act as a liaison between the Innovation team and external parties, screening calls and visitors, answering inquiries with professionalism, and directing communications as needed.
· Support the processes and activities of the Innovation team, applying judgment and discretion to identify operational needs, adapt to shifting priorities, and contribute directly to the effective management of the team’s business operations.
· Provide additional support to other departments, administrators, or executives as needed.
· Maintain team records, distribution lists, organizational documents and shared files to ensure key information is accurate, accessible and well organized.
· Assist in onboarding new team members, vendors, or partners by coordinating access, introductions, and relevant documentation.
· Coordinate invoice management for the Innovation team, including vendor tracking, approval workflows, payment follow-up and record keeping.
· Draft, review, and send communications on behalf of the Innovation leadership team as required.
· Manage department credit cards, ensuring sufficient funds are available and receipts are logged accordingly for each member of the Innovation team.
· Assist with accommodation logistics for the Innovation team.
