Job Description

Your Role:

 

  • Administrative Support: This role supports the Senior Vice President (SVP) for Global Medical Affairs; you will manage their calendar, schedule meetings, and coordinate travel arrangements, prepare and edit correspondence, communications, presentations, and other documents, handle incoming and outgoing communications, including emails, team calls, and mail.
  • Meeting Coordination: Plan, organize, and coordinate meetings, conferences, and events. Prepare agendas, manage meeting minutes, and follow up on action items. Ensure the SVP is well-prepared for meetings with relevant materials and information.
  • Project Management: Assist in the planning and execution of projects and initiatives led by the SVP. Track progress and provide updates on key projects and deadlines.
  • Work across time zones and manage calendars effectively.
  • Stakeholder Management: Act as a liaison between the SVP and internal/external stakeholders. Build and maintain positive relationships with key contacts and departments.
  • Confidentiality and Discretion: Handle sensitive information with the utmost confidentiality and discretion. Maintain professionalism and a high level of confidentiality in all interactions.
  • This is an in-office based position in Billerica, MA
  • Travel up to 10% for meetings

 

Who You Are:

 

Minimum Qualifications:

 

  • Bachelor’s degree with 6+ years in an executive assistant role supporting senior-level management, in a fast-paced global and matrixed environment.
  • Or
  • High School or GED with 8 years in an executive assistant role within the pharmaceutical industry

 

 

Preferred Qualifications:

 

  • Bachelor’s degree in business administration.
  • Experience in the pharmaceutical and/or healthcare industries.
  • Strong organizational and time-management skills.
  • Experience working across time zones (domestically and globally).
  • High level of professionalism, confidentiality, and discretion.
  • Ability to handle multiple tasks and prioritize effectively in a fast-paced environment.
  • Strong problem-solving skills and attention to detail.
  • Proactive and detail-oriented with excellent communication skills (verbal and written).
  • Proficiency with various social media platforms; experienced in both creating and capturing engaging text-based content.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Understanding of AI concepts and a demonstrated curiosity to explore AI-enabled solutions.
  • Ability to work independently and as part of a team.
