About the role

I am looking for a highly organized, discreet, fast-moving Executive Assistant / Operations Assistant to support me across multiple businesses in legal, investing, and operations.

This is not a passive admin role. I need someone who can help me buy back time, reduce noise, protect my calendar, manage follow-through, and keep priorities moving without constant hand-holding.

You will work closely with me on inbox triage, scheduling, hiring coordination, action-item tracking, and day-to-day execution support.

What success looks like

  • My inbox is organized and only the right items reach me

  • My calendar is protected and priorities are scheduled intentionally

  • Hiring moves faster and more cleanly

  • Open loops are tracked and followed through

  • I spend less time on coordination and more time on high-value work

Responsibilities

  • Manage and triage inbox daily

  • Draft routine email responses and flag only high-priority items

  • Manage calendar, schedule meetings, and reduce unnecessary interruptions

  • Track action items, follow-ups, and deadlines across multiple businesses

  • Coordinate recruiting, candidate communication, interview scheduling, and hiring logistics

  • Organize notes, files, and priority lists

  • Prepare daily and weekly summaries of what needs attention

  • Help keep office and operational tasks moving

  • Follow up with team members and outside parties to ensure completion

  • Assist with light research and administrative support as needed

Ideal candidate

  • 5+ years supporting an executive, founder, attorney, investor, or operator

  • Excellent written and verbal communication

  • Strong judgment and discretion

  • Highly organized and detail-oriented

  • Able to prioritize fast without getting overwhelmed

  • Comfortable working across multiple businesses and shifting priorities

  • Calm, professional, and proactive

  • Strong follow-through and accountability

  • Comfortable with Google Workspace, calendars, spreadsheets, and modern tools

  • Bonus: experience in law, real estate, recruiting coordination, or executive support in a fast-paced environment

This role is not for you if:

  • You need constant step-by-step direction

  • You struggle to prioritize when multiple things are moving

  • You avoid follow-up or hard conversations

  • You are only looking for a basic receptionist or front-desk style role

To apply

Please send:

  • Your resume

  • A short note explaining what kind of executive you support best

  • An example of a chaotic situation you helped organize

  • Your preferred compensation range

  • Whether you are open to part-time trial leading to full-time
