Rutgers, The State University of New Jersey, is seeking an Executive Assistant for the department of Obstetrics, Gynecology and Reproductive Sciences at the Robert Wood Johnson Medical School.
Provides advanced, diversified and confidential administrative and management support to the Department Chair. Exercises considerable discretion and independent judgment in handling day-to-day matters on behalf of the Department Chair.

Among the key duties of this position are the following:
- Updates and maintains administrative policies and procedures applicable to the department to maintain a stable, efficient and cooperative working environment. Analyzes complex information requests. Investigates and develops solutions to administrative problems, identifies and eliminates unnecessary practices.
- Coordinates projects and prepares correspondence, reports, and handles fiscal procedures for the executive.
- Identifies departmental staffing needs and maintains confidential personnel files and correspondence.
- Plans and schedules the work of the department to ensure maximum effective utilization of employees, equipment and materials within budgetary requirements.
- Maintains comprehensive knowledge of the University and the School’s/Operating Unit’s policies and procedures.
- Maintains a master schedule of the entire executive’s standing meetings involving senior executives, i.e., Deans, President/CEO’s across the University, President’s Cabinet, committees and other internal and external events.

Minimum Education and Experience
- Bachelor’s Degree in Business or Public Administration or a related field, plus five (5) years of progressively more responsible related professional and/or administrative experience in either the public or private sector, required.
- Equivalent experience, education and/or training may be substituted for the education requirements.

- Physical Demands: Standing, sitting, walking, talking and hearing. No special vision requirements. Lifting up to 25lbs.
