Job Description

The Executive Assistant India Country Leader provides comprehensive administrative, organizational, and strategic support This role serves as a key point of coordination between executive leadership, board members, plant management, and external stakeholders, ensuring efficient operations, effective communication, and adherence to corporate governance standards. This position also leads some of the Country scopes on Immigration/ Visa; Corporate Card; Internal Travel and Reimbursement portals and acts as SPOC/ Expert on these topics.

Your Role :

Executive Support:

  • Manage complex calendars, appointments, and schedules for India Country Leader/ Sanand Plant Director.
  • Coordinate domestic and international travel arrangements, accommodations, and itineraries.
  • Prepare correspondence, reports, presentations, and executive communications.
  • Screen and prioritize emails, calls, and meeting requests.
  • Coordinate with Company Secretary on Board Administration, scheduling of Meetings;Maintaining of records etc

Country Leader/Plant Director Support:

  • Assist with daily operational planning and executive priorities.
  • Coordinate plant leadership meetings and management reviews.
  • Prepare operational reports, dashboards, and performance summaries.
  • Monitor key deadlines, projects, and strategic initiatives.
  • Support communication between departments and leadership teams.

Communication and Stakeholder Coordination:

  • Serve as a liaison between Board Members, Plant Management, Corporate Leadership, and external stakeholders.
  • Coordinate executive visits, audits, and site inspections.
  • Facilitate information flow across departments and ensure timely communication.

Governance and Compliance:

  • Support compliance with corporate governance requirements and company policies.
  • Ensure confidentiality of sensitive business and operational information.

Event and Project Management:

  • Coordinate board visits, leadership meetings, conferences, and plant events.
  • Assist with strategic projects and continuous improvement initiatives.
  • Track project milestones and prepare status updates for management.

Travel Arrangements :

  • The responsibility of planning and organizing travel, both domestically and internationally.
  • A point of contact for Visa process of all the employees travelling in and out of India.
  • Coordinate with Global Mobility team and external Consultants on Issue resolution and support to Employees
  • Coordinating for flights, accommodations, and ground transportation

Expense Management :

  • Tracking and managing the executive’s expenses.
  • Preparing Expense sheet & submitting it online portal.
  • Keeping records for the submitted expenses reports.

Corporate Card Management:

  • Clearly document the end-to-end process and key contacts – ordering HSBC cards, bank details, etc
  • Ensure continuity on any controls or compliance aspects linked to the HSBC scope – credit limits
  • Workday Help support for the India employees on HSBC Card
  • Monitoring bank reimbursement rejections for India
  • Guide and Coach employees on Corporate Card usage guidilenes
  • Expensya and Egencia related help to employees as needed including coordination wtith Global teams

Education Requirements:

  • Bachelor's degree in Commerce, Business Adminstration or equivalent streams:

Experience Requirements:

  • 10+ years of experience supporting senior executives, directors, or board members. 
  • Proven experience handling confidential information and executive-level communications.
