Job Summary:

We are seeking an Executive Meetings Manager to oversee and coordinate all aspects of executive meetings, conferences, and events for the resort. The ideal candidate will be responsible for planning, organizing, and executing high-level meetings to ensure their success and effectiveness.


Responsibilities:

1. Collaborate with executives and senior leadership to understand meeting objectives and requirements.

2. Plan and coordinate meeting logistics, including venue selection, catering, transportation, accommodations, and audiovisual needs.

3. Develop meeting agendas and timelines, ensuring all necessary preparations are made in advance.

4. Manage budgeting and cost negotiations for meetings, striving to achieve cost efficiencies without sacrificing quality.

5. Coordinate with internal teams and external vendors to ensure seamless execution of meetings.

6. Oversee on-site management during meetings to address any issues that may arise and ensure the event runs smoothly.

7. Evaluate meeting outcomes and gather feedback to continuously improve future events

8. Prospects for new business and return business by making outbound calls and networking.

9. Returns call to prospects within 24-48 hours.

10. Follows proper protocols and procedures with regards to pricing, contracts and proposals and BEO's.



Qualifications:

1. Bachelor's degree in Hospitality Management, Business Administration, or equivalent experience.

2. Proven experience in event planning and management, specifically with executive-level meetings.

3. Strong organizational skills with the ability to multitask and prioritize effectively.

4. Excellent communication and interpersonal abilities to interact with executives, vendors, and team members.

5. Detail-oriented mindset with a focus on delivering high-quality experiences for attendees.

6. Proficiency in Microsoft Office and event management software.

7. Ability to work under pressure and adapt to changing situations in a fast-paced environment.
