Key Responsibilities
The Executive Assistant will fully own every task delegated by the Chief of Staff and President, taking complete responsibility for successful execution from start to finish. Responsibilities include:
- Manage all aspects of vehicle management, including tracking registrations and renewals, coordinating repairs and maintenance with our mechanic, monitoring service schedules, and ensuring all vehicles remain compliant and road-ready.
- Assist with pesticide licensing requirements, including tracking expirations, preparing renewal applications, maintaining documentation, and ensuring compliance with state regulations.
- Handle insurance claims by coordinating with providers, documenting incidents, and following up to resolution.
- Oversee inventory ordering, organization, and management, including regular audits, tracking usage, and maintaining accurate stock levels to prevent shortages or overstock.
- Research and inquire about new properties, evaluate potential locations, and prepare initial reports for leadership review.
- Set up new office locations, including arranging utilities, scheduling cleaning services, lawn care, and other maintenance needs.
- Manage calendars, schedule meetings, send invitations, and prepare materials for the Chief of Staff and President.
- Generate reports on operational metrics, inventory status, vehicle maintenance, and other key areas as requested.
- Coordinate shipping of materials to field teams and external partners, ensuring timely delivery and proper packaging.
- Liaise and coordinate with external vendors to schedule and execute projects.
- Perform other duties as assigned by the Chief of Staff or President to support overall operational efficiency.
Qualifications and Requirements
- Must be at least 21 years of age.
- Possess a clean driving record with no major violations in the past 5 years (verification required).
- High school diploma or equivalent required; associate’s or bachelor’s degree in business administration, operations management, or a related field preferred.
- Proven experience in administrative or operational support roles, preferably supporting senior executives in a fast-paced environment.
- Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with inventory management software.
- Excellent organizational and multitasking skills with the ability to prioritize effectively and manage competing deadlines.
- Strong written and verbal communication skills for interacting with internal teams and external partners.
- Demonstrated ability to work independently with minimal supervision while maintaining close collaboration with senior leadership.
- Willingness to travel occasionally to our Greensboro office (valid driver’s license required).
