Job Description

Dunwoody Village, a premier continuing care retirement community (CCRC) in Delaware County, PA is seeking a full-time Facilities Administrative Assistant.

Reporting to the Maintenance Manager, this position is an integral part of the Maintenance and Facilities operation and assists with handling and distributing work order requests, handling resident concerns and requests, coordinates and codes all invoices, data entry, work processing, filing, and recordkeeping for the department.

The ideal candidate will have strong organizational skills, attention to detail, and customer services experience.

How you will make an impact:

  • Responds to calls and correspondence for the department and escalates issues that need immediate attention
  • Serves on the monthly Safety Committee to ensure that issues brought up at the meetings related to building safety are addressed by the appropriate members of the department.
  • Prepare and reconcile monthly utility and vendor/contractor bills to ensure they are correct and the charges are appropriate to the work completed.
  • Assist with implementation and maintenance of the WorxHub work order system.
  • Ensure compliance with organizational policies and standards.
  • Participate in process improvement and internal control procedures
  • Maintain compliance with all applicable federal, state, and local regulations.
  • Foster a culture of excellence by demonstrating customer service when interacting with all resident, vendors, employees, and visitors and is aligned with the mission, vision, and values of Dunwoody Village.

What you will need:

  • Minimum of 2 years’ experience as an Administrative Assistant.
  • Experience working in a CCRC or similar organization strongly preferred.
  • Excellent customer service experience when working with residents, staff, and vendors.
  • Strong attention to detail, confidentiality, and accuracy
  • Ability to prioritize tasks and meet deadlines
