Job Summary:
IBEX IT Business Experts is seeking a detail-oriented and mission-focused Project Coordinator to support the Ira C. Eaker Center for Leadership Development at Maxwell-Gunter AFB, AL. This role supports the daily operational readiness, facility coordination, safety, work order tracking, access control, vehicle coordination, and project management needs of Eaker Center facilities.
The Project Coordinator will help ensure Eaker Center buildings, classrooms, offices, grounds, equipment, and facility-related programs remain operational, safe, clean, and ready to support staff, faculty, students, distinguished visitors, and mission partners. The successful candidate must be proactive, organized, comfortable working with minimal supervision, and able to coordinate across government stakeholders, Civil Engineering, custodial teams, contractors, vendors, and internal IBEX leadership.
This position requires on-site performance at Maxwell-Gunter AFB. Telework is not expected to be common and may only occur with appropriate government approval.
Key Responsibilities
- Conduct recurring facility site visits for assigned Eaker Center buildings, including Bldg. 500, G1110, 1400, 1404, and designated office/classroom areas in G1143, to support operational readiness and identify facility needs.
- Submit and track Civil Engineering work orders, AF Form 332 requests, emails, and telephone requests for facility repairs, improvements, and maintenance actions.
- Maintain a Microsoft Excel tracking log of repair requests, project actions, and completion status through repair or project closeout.
- Inspect Eaker Center facilities, both interior and exterior, to identify cleanliness, safety, maintenance, custodial, supply, equipment, and facility deficiencies.
- Coordinate with custodial supervisors, grounds crews, Civil Engineering, COR, and other government stakeholders to support timely resolution of facility issues.
- Support program management for current and future Eaker Center facility projects by helping define project scope, develop schedules, track baselines, coordinate activities, and provide status reporting.
- Coordinate with approved contractors and vendors for estimates on potential projects, organize project start dates after leadership selection, monitor progress, and coordinate payment processing with the appropriate Government Purchase Card holder.
- Manage facility-related supplies, including receiving requests, coordinating replenishment, and working with the appropriate GPC cardholder.
- Manage the unclassified key program in accordance with Civil Engineering directives, including issuing, tracking, and collecting keys from staff and guests as needed.
- Administer the keyless entry door system for authorized personnel, students, instructors, staff, and distinguished visitors using Common Access Card access, including updates for departures, holidays, family days, down days, and adjusted class schedules.
- Coordinate with the COR regarding maintenance, repair, or service needs for the door lock system.
- Inspect fire extinguishers monthly within the first week of the month and support fire inspections in coordination with the Eaker Safety Program Manager and Maxwell Fire Department.
- Maintain records of fire inspections and ensure fire exit lights, signs, and markings are posted as necessary.
- Serve as or support the Unit Safety Representative function as directed.
- Create, laminate, post, and update signage and bulletin board materials throughout assigned buildings.
- Place stanchions and coordinate designated parking support for distinguished visitor parking, events, and courses.
- Organize furniture moves for Eaker Center schools and offices; coordinate DRMO visits to identify needed furniture and supplies.
- Coordinate volunteer days for cleaning, painting, furniture movement, DRMO runs, and other facility-support activities.
- Coordinate transportation support vehicles as needed for staff and mission requirements.
- Manage assigned vehicle control duties, including daily MULE vehicle manager responsibilities and completion of required operator checklists.
- Support Eaker’s vehicle control program and coordinate with 42 LRS regarding changes or procedures.
- Provide administrative support to the COR related to assigned inmate work activities, including monitoring assigned tasks, inspecting work completion, reporting results by email, and following Bureau of Prisons rules and government limitations.
- Provide weekly reports to the COR on work performed and submit monthly reports summarizing completed duties, contractor metrics, and projected work no later than the 5th day of the following month.
- Comply with applicable Air Force, DoD, Maxwell-Gunter AFB, Eaker Center, Civil Engineering, security, safety, OPSEC, CUI, FOIA, Privacy Act, facility management, traffic, and installation access requirements.
- Complete required training, including Cyber Awareness, Force Protection, Controlled Unclassified Information, OPSEC, and any additional government-directed training.
Work Environment: This job operates in a professional office environment. This role routinely uses standard office equipment.
Appearance: All personnel shall be attired in business casual clothing for daily work. Attire worn should always ensure employees safety from working conditions (long pants, appropriate shirts and close toe shoes as required): on occasion, staff may be required to wear a business dress for certain activities.

While performing the duties of this job, the employee is occasionally required to stand; walk; sit; use hands to finger, handle, or feel objects, tools or controls; reach with hands and arms; climb stairs; talk or hear.
