Job Title: Receptionist

Position Summary
We are seeking a friendly, professional, and organized Receptionist to serve as the first point of contact for residents, families, visitors, vendors, and staff. The Receptionist is responsible for providing exceptional customer service, managing incoming calls, greeting visitors, and supporting daily administrative operations within the facility.
Essential Duties & Responsibilities
- Greet residents, families, visitors, and vendors in a courteous and professional manner.
- Answer and direct incoming phone calls promptly and accurately.
- Manage visitor sign-in procedures and ensure compliance with facility policies.
- Provide information and assistance to residents, families, and guests.
- Receive, sort, and distribute mail and deliveries.
- Maintain front desk organization and cleanliness.
- Assist with filing, copying, scanning, and other administrative tasks.
- Coordinate communication between departments as needed.
- Maintain confidentiality of resident and employee information in accordance with HIPAA regulations.
- Support Human Resources and Administration with special projects and clerical duties.
- Monitor lobby activity and report concerns to appropriate personnel.
Additional Duties & Responsibilities
- Receive and process resident payments, copays, and other facility-related transactions.
- Accurately handle cash, checks, credit card payments and issue receipts.
- Maintain daily cash logs and balance cash drawer as required.
- Prepare bank deposits in accordance with facility policies and procedures.
- Assist with resident trust fund transactions and documentation, when applicable.
- Maintain accurate financial records and ensure confidentiality of financial information.
- Report discrepancies or concerns regarding financial transactions to the Business Office Manager or Administrator immediately.
Qualifications
- High school diploma or GED required.
- Previous receptionist, customer service, or administrative experience preferred.
- Experience in a healthcare or long-term care setting is a plus.
- Strong communication and interpersonal skills.
- Proficiency with Microsoft Office (Word, Outlook, Excel).
- Ability to multitask in a fast-paced environment.
- Professional appearance and demeanor.
- Strong attention to detail and organizational skills.
- Previous cash handling, banking, or accounts receivable experience preferred.
- Strong mathematical and recordkeeping skills with attention to detail.
Physical Requirements
- Ability to sit, stand, and walk for extended periods.
- Ability to lift up to 15 pounds occasionally.
- Ability to operate standard office equipment.

Schedule
- Full-Time
- Monday–Friday, 9am-5pm
- Some evenings, weekends, and holidays as needed
