Office Assistants are responsible for greeting and scheduling patients, maintaining the organization of departmental paperwork, and supporting departmental policies and procedures to ensure smooth and continuous departmental operations.
QUALIFICATIONS
Education and experience:
- At least four years of high school, having taken some business courses.Experience in medical and administrative fields.Familiar with scheduling, EMR, Microsoft Office - Word and Excel.
ESSENTIAL JOB FUNCTIONS

- Performs billing functions and provides patient information to clinicians.Enters patient charges as needed.Prints and distributes patient schedules to clinical staff.Audits billing for accuracy.Processes orders from physicians.Completes daily charge journal and total units and visits every day.Completes end of the month reports.Functions as the clinic receptionist.Greets all people as they arrive, acknowledging their presence and notifying the appropriate clinician.Notify patients of their financial responsibility and collect copays as appropriate.Utilizes time efficiently and effectively, contributing to the department's productivity.Performs patient scheduling in an organized manner to ensure staff have adequate time for evaluations and treatments.Answer the telephone and relay messages to therapists accurately.Answers telephone with positive attitude and helpful demeanor.Able to multitask between telephone and patients to manager's satisfaction.Directs all calls beyond scope of knowledge to appropriate personnel.Assist therapists with communication regarding new orders, etc.Faxes, files, and copies patient information requested by therapists and external physician offices.Coverage of duties for other clerks on as needed basis. Perform special projects as assigned by the department coordinator.Carries out patient registration.Accurately builds charts with insurance information noted.Verifies insurance and follows through with all insurance pre-certs or authorizations when needed. Organizes the charts and notifies the therapist that the patient is ready.
