Job Description

Position Summary

The Medical Receptionist provides front-desk and administrative support to ensure smooth daily operations within the Surgical Facility. This role is responsible for greeting patients, managing check-in procedures, handling patient communications, and maintaining accurate documentation in compliance with HIPAA and facility policies. The ideal candidate is professional, detail-oriented, and able to thrive in a fast-paced environment where an excellent patient experience is essential.


Key Responsibilities

Patient Interaction & Front Desk Operations

  • Greet patients, their families and visitors in a courteous and professional manner.

  • Manage the patient check-in process, including verifying demographic and insurance information.

  • Collect copays, account payments, and any required documentation.

  • Answer and route phone calls; respond to patient inquiries with appropriate urgency.

  • Coordinate with pre-op, post-op, and surgical teams to ensure efficient patient flow.

Administrative Duties

  • Occassionally verify insurance eligibility and obtain accurate copay information

  • Maintain and secure electronic and paper records in accordance with HIPAA.

  • Prepare and manage patient forms and consent documents according to facility policies.

  • Assist with scanning, filing, faxing, and routing of chart documents 

  • Support daily operational tasks, including stocking office supplies and maintaining a clean reception area.

Compliance & Safety

  • Follow all facility protocols, including HIPAA, OSHA, infection control, and patient confidentiality guidelines.

  • Participate in required training, quality assurance activities, and staff meetings.

  • Report safety concerns or operational issues to management promptly.


Qualifications

Required

  • High school diploma or GED.

  • Prior experience in a healthcare or medical office setting.

  • Strong customer service and communication skills.

  • Proficiency with electronic health record (EHR) systems and basic computer applications.

  • Ability to multitask, prioritize, and maintain professionalism under pressure.

Preferred

  • Experience in an ambulatory surgery center or outpatient surgical environment..


Schedule & Compensation

  • Full-time position; schedule may include early mornings depending on department needs.
