FUNCTION:
Engineering & Operations Administrative support.
PRIMARY RESPONSIBILITIES:
- Performs a variety of administrative responsibilities, frequently confidential or complex in nature, in direct support of management to enhance their operating efficiency and/or achieve organizational objectives
- Perform within broad guidelines, relying on proficiency and past experience to accomplish most activities with limited direction
- Perform basic research and analysis and prepare an oral and/or written summary of findings
- Self-sufficient with advanced manual skills and dexterity and/or rely on past experience to research problems/issues in order to recommend appropriate action
- Appropriate application of and advanced working knowledge of company policies, procedures, and practices applicable to area of specialization
- Provide guidance and training to other personnel across multiple departments
- Serve as a liaison between divisions and departments and other entities
- Maintain a positive and professional work environment
- Prepare, execute, and follow up on purchase requisitions, minor purchase orders, payment invoices and procurement card purchases for multiple departments
- Maintain personnel records in conjunction with payroll and compensation procedures
- Prepare and execute appropriate documents and obtain supplies for new employees
- Complete travel accommodations and maintain a working knowledge of various travel rules and regulations for multiple personnel within multiple departments
- Organize and maintain CPR/AED certifications/classes, manage monthly AED compliance, and procure new equipment as needed
- Organize and provide minutes for Department Safety Committee Meetings and provide appropriate documentation for Central Safety Committee Meetings
- Manage timesheet processing and approval workflows for personnel across multiple departments
- Assist Accounting Department in providing current listings of fixed assets
- Current knowledge and application of state record retention policies
- Purchase and maintain office and first-aid supplies
- Maintain standard office and phone equipment
- Retain and execute Notary Public Commission for use on-site and in-the-field

MINIMUM QUALIFICATIONS AND SKILLS:
- High school diploma or equivalent required, plus additional training or formal education in area of specialization equivalent to an associate’s degree preferred
- 6 years directly related experience performing responsibilities in areas of specialization
- Advanced skills using standard office equipment
- Advanced proficiency in personal computer operations and in the use of word processing, spreadsheets, and graphic applications (Microsoft Office)
- Ability to communicate effectively with all levels of employees, as well as vendors, clients, contractors, City government officials, and the general public
- Mastery of effectively prioritizing projects from several different management level
- Intermediate reading, writing and arithmetic skills
- Notary certification
