Position Overview
We are seeking a true operational backbone for our headquarters office: an Administrative Assistant / HR & Compliance Specialist with a minimum of 2 years of full-time experience who is highly detail-oriented, compliance-minded at all times, and comfortable quality-checking the work of others. This role blends HR and talent acquisition with accounting, payroll, and bookkeeping support, plus light marketing and general administrative coordination.
The ideal candidate treats accuracy and follow-through as non-negotiable, catches errors before they become problems, and is equally comfortable reconciling an invoice, coordinating a background check, or reviewing a colleague's report for quality before it goes out the door.
Key Responsibilities:
Own and manage the company-wide employee evaluation framework, including KPI development and performance tracking
Conduct structured employee check-ins, document outcomes, and track performance trends and gaps
Analyze performance data and provide reporting and insights to leadership
Ensure consistency and compliance in evaluation processes and documentation
Partner with hiring managers to align role expectations and support performance-based hiring practices
Support payroll coordination and HR compliance documentation
Maintain organized, audit-ready files, reports, and internal documentation
Support day-to-day bookkeeping and maintain accurate financial records
Assist with payroll processing and related compliance documentation
Support program managers with weekly status tracking and timecard oversight
Handle incoming mail and office-related tasks during onsite days
Support data entry, general reporting, and ad hoc administrative or operational projects as needed
Qualifications:
Bachelor's degree in Business Administration, Communications, or a related field required
2+ years of experience in HR, performance management, operations, or analytics-focused roles
Proficient with HR processes such as onboarding, employee documentation, and performance evaluation support
High attention to detail and strong ability to quality-check work with accuracy
Strong organizational, multitasking, and independent-work skills
Proficiency in Microsoft Office (Excel, Word, Outlook)
Must be located within 30 miles of the office (13900 Tech City Circle, Alachua, FL)
Must provide 3 professional references (non-family)
Must be comfortable with a background check, including drug screening
Must be willing to be sponsored for a government security clearance, if required
Strong experience with KPI development, performance tracking, or workforce analytics
Highly analytical with the ability to translate data into actionable insights
Ability to work independently and drive structured processes
Preferred Qualifications:
Experience in government contracting environments
Experience supporting performance evaluations, employee check-ins, or KPI reporting
Experience in a small business or professional services environment
Experience building or refining performance evaluation systems from the ground up
