This role is responsible for:

  • Working with other team members to market the Community and Company in a positive style that leads directly to high occupancy and resident retention.
  • Must assume proactive behavior and measures to properly represent Quality Management Group, Inc. and build relationships in the community.

The Leasing Consultant/Administrative Assistant reports to the Community Manager or Senior Community Manager or Regional Manager and takes an active role in working with the Community Manager to provide superior customer service to both existing and prospective residents through leasing vacant apartments and maintaining high resident retention through their daily interactions with both internal and external customers.

RESPONSIBILITIES

Leasing Tasks

Work closely with the Community Manager and/or Assistant Manager to facilitate leasing through;

  • Show rent ready apartments
  • Meet with prospective applicants
  • Effectively qualify prospective residents and verifying applications
  • Prepare lease documents and related paperwork
  • Ensure that all applications are completed in their entirety and in a timely manner
  • Record traffic in software program daily
  • Follow up with Guest Cards or a “Thank You” response within twenty-four (24) hours of the visit with the prospect
  • Filing all paperwork in a timely and efficient manner
  • Follow up with residents regarding the quality of work performed in their home
  • Record the residents follow up on the service requests in the Yardi system
  • Help create and distribute community flyers for events as needed
  • Interacting with existing and prospective residents with courtesy and respect
  • Maintains appointment schedules by planning and scheduling meetings, conferences and teleconferences
  • Conserve supervisor’s time by reading researching and routing correspondence/emails, drafting letters and documents, collecting and analyzing information
  • Welcome guests by greeting them professionally in person, answering the phone and directing inquiries
  • Provide administrative support by compiling department reports and tracking vendor bids
  • Maintains professional and technical knowledge by attending educational workshops reviewing professional publications, establishing personal network, participating in professional societies
  • Contributes to team effort by accomplishing related results as needed
  • Compile monthly reports for review
  • Notary preferred but not required

Administrative Assistant Tasks

  • Data entry, review and process all Rural Development invoices received by property.
  • Match purchase orders to invoices along with required supporting documentation
  • Reconcile statements
  • Maintain files
  • Prepare account analysis
  • Answer vendor inquires 

Marketing

  • Take a proactive role in assisting the community manager in shopping the competition and marketing as needed
  • Be aware of and relay information regarding the property’s general appearance and condition
  • Ensure that the leasing area is clean at all times

Customer Service

  • Answering the telephones in a timely and professional manner
  • Interacting with existing and prospective residents with courtesy and respect
  • Entering service requests into the YARDI software system
  • Excellent Communication and the ability to connect with the residents and general public

Other duties

  • Must attend Company sponsored events that relate to the development of the team, which, from time to time, may include travel and overnight stays at locations away from the employee’s home.
  • This position may require the availability to work some nights, weekends and occasional holidays based upon the needs of the community
  • Comply with all aspects of Fair Housing and Harassment Awareness training and protocols in performance of all tasks and assignments
  • Other duties as requested

MINIMUM EXPERIENCE:

  • Minimum one year in a customer service in a related field
  • Minimum one year in property management
  • Affordable housing experience (HUD/LIHTC/Rural Development) preferred
  • Must have basic math skills
  • High School education or equivalent is needed with proficiency in both verbal and written communication skills
  • Yardi software experience preferred
  • Proficient in English language in verbal and written communications
  • Proficient in using Microsoft Office; Word, Outlook and Excel
  • Working knowledge of general office equipment

 PHYSICAL DEMANDS
