POSITION SUMMARY:

The Legal Administrative Assistant is responsible for certain legal research projects, data entry and updating, creating and sending reports, mail sorting/sending, and other administrative support duties.

 

PRINCIPAL DUTIES AND RESPONSIBILITIES: The Legal Administrative Assistant will support the Chief Legal Officer (“CLO”) and Legal Department in the performance of the following functions.

Legal Administrative Duties:  Perform administrative duties that shall include but are not limited to:  open mail & distribute; research and respond to AG, attorney, and owner complaints; update all applicable systems of record regarding all complaints (including status of complaint and responses sent); maintain and process requests from the release website; update systems of record with bankruptcy information; process release requests (research, send out and process release documents, and update systems of record); order office supplies as needed; screen customer calls and forward when necessary.

Deeding, Estoppel, Name Changes, and POA/Death Certificate Processing:  Process all deeding required (preparing deeds, recording deeds and updating systems of record); process name changes in systems of record; process estoppel requests; update accounts with POA/Death Certificate information; process club membership terminations as needed; process mortgage reassignments as needed.

 Business Licenses and Registrations: Prepare and file business licenses and registrations for all corporate entities and managed homeowners' associations.

Litigation Management: Assist CLO in maintaining the company’s litigation management system, including but not limited to filing documents, calendaring important dates, researching for litigation matters as needed, and corresponding with outside counsel when needed.

Accounting: Assist in processing all legal department invoices, including coding, sending to CLO for approval, and submitting them to AP.

Audit Assistance: Assist in providing required information to outside auditors as requested.

Provide additional legal department support as needed.
