Description
Under general direction, provides highly responsible and complex clerical and administrative support to both the Executive Director of the Foundation and the Administrator of the Enterprise Corporation. Assumes responsibilities with minimal supervision, exercises initiative, makes decisions, and handles routine matters independently.
Primary Duties
FOUNDATION ACCOUNTANT/ASSISTANT
- Assists in event coordination for the Foundation and College.
- Compiles lists from database queries for event mailings and brochures.
- Maintains Foundation donor and financial records.
- Collects and receipts monies for the foundation.
- Prepares bank deposits.
- Bank reconciliations for multiple accounts
- Maintains scholarship data, including criteria, recipients, and balances.
- Assists Director in preparing annual and bi-annual reports for donors regarding scholarship and endowment funds.
- Prepares annual contribution statements.
- Maintains spreadsheet on market values and posts interest to appropriate endowment funds.
- Prepares requisitions and verifies appropriate documentation is attached. Processes and posts check for payment to vendors. Ensures proper authorization, accuracy, legitimacy and timely payment of cash disbursements.
- Processes 1099s for contract labor.
- Compiles information for year-end audit.
- Carries out additional duties as assigned by the Foundation Director.
MAYLAND COMMUNITY COLLEGE FOUNDATION WEBSITE MANAGER
- Maintains and updates the Mayland Community College Foundation website.
- Active participation on Mayland Community College’s website committee
- Stays well-informed of technology changes relating to website development
SECRETARY TO THE FOUNDATION BOARD OF DIRECTORS
- Attends all Foundation Board meetings and serves as the recording secretary.
- Maintains accurate records of the meetings of the Board through the recording of motions and discussion summaries via a written format for general minutes.
- Responsible for formatting Board policies and procedures for approval by Board and distribution to appropriate individuals. Files copies in Board of Directors Policy and Procedures Manuals. Maintains original signed copies of official Board policies and procedures. Upon approval posts policies and procedures to the H drive.
- Maintains archives for Foundation Board.
- Maintains a Directors attendance record of all Board Meetings. Notifies the Chairman in the event a member fails to attend three consecutive scheduled meetings. Includes an attendance report annually in the Board packets for the previous fiscal year.
- Carries out additional duties as assigned by the Foundation Board.
ENTERPRISE CORPORATION ASSISTANT
- Compiles lists from database queries for event mailings and brochures.
- Bank reconciliation for Mayland Rapid Prototype
- Payables to and from accounting firm for Earth to Sky Park
- Collect signatures for MEC checks
- Report NC Sales tax monthly for Rapid Prototype
- Collects and receipts monies for the Enterprise Corporation
- Prepares bank deposits
- Reports daily ESP sales reports for audit
- Maintains data and balances for individual divisions of the Enterprise Corporation
- Assists Administration in preparing annual reports regarding fund balances and financial statements
- Processes 1099s for contract labor
- Compiles information for year-end audit
- Carries out additional duties as assigned by the Enterprise Corporation Administration
Minimum Qualifications
Education: Associate in Accounting or Business
Experience: Two to three years’ experience as an Administrative Assistant or equivalent position.
Knowledge, Skills and Abilities:
- Considerable knowledge of personal computers, word processing, Microsoft Office, Blackbaud software, Zoom software, internet and e-mail.
- Working knowledge of website development software
- Experience with basic website design
- Familiarity with ADA compliances in relations to website design
- Utilizes considerable discretion in the handling of confidential information and sensitive materials.
- Good organizational skills.
- Ability to assume responsibility with minimal supervision, exercise initiative, makes decisions and handles routine matters independently.
- Works extremely well on an independent basis.
- Ability to interact tactfully and courteously with the Foundation Board of Directors, donors, faculty, staff, students and the general public.
- Ability to maintain effective and efficient working relationships with others.
