Job Description

The Medical Office Assistant provides administrative front office support by welcoming patients, scheduling appointments, verifying insurance, processing patient registrations, collecting payments, and ensuring accurate patient records. The responsibilities of the position include:

  • Welcome patients and visitors in a professional, compassionate, and courteous manner. 
  • Answer and route incoming telephone calls, take messages, and assist callers promptly. 
  • Register patients by collecting and entering demographic and insurance information accurately. 
  • Verify insurance eligibility and obtain required patient information. 
  • Schedule, reschedule, and recall patient appointments. 
  • Collect patient payments and reconcile daily cash receipts. 
  • Process and distribute incoming faxes and mail. 
  • Prepare and send medical records to the centralized Medical Records department. 
  • Make bank deposits and complete other administrative support duties as assigned. 
  • Work collaboratively with providers and teammates to ensure efficient patient flow and exceptional customer service.

 

Qualifications

Required:

  • High school diploma or equivalent. 
  • Excellent customer service and interpersonal skills. 
  • Strong verbal and written communication skills. 
  • Ability to multitask in a fast-paced medical office. 
  • Ability to work effectively as part of a team.
  • A positive, patient-centered attitude. 
  • Strong organizational and time management skills. 
  • Attention to detail and accuracy. 
  • Flexibility and the ability to adapt to changing priorities. 
  • A commitment to treating every patient and coworker with dignity and respect.

 

Preferred:

  • Certificate as a Medical Office Assistant. 
  • Three to five years of medical office experience. 
  • Knowledge of medical insurance and patient registration processes. 
  • Experience collecting patient co-pays and balancing a cash drawer. 
  • Experience with electronic medical records (EMR/EHR).

 

Hours

This is a full-time position, 40 hours per week, Monday – Friday
