The Inventory Control is a key operational role at New Gen Holdings, LLC, responsible for the accurate management, tracking, and maintenance of all store inventory. This position owns the full inventory lifecycle — from delivery intake and product receiving through catalog maintenance, stock-level monitoring, and state-mandated track-and-trace reconciliation. In addition to these core inventory responsibilities, the Inventory Control provides frontline workflow direction, coaching, and operational support to store team members, ensuring daily tasks are completed efficiently and in compliance with all applicable regulations. This role reports directly to the Store Manager and serves as the primary point of accountability for inventory accuracy and integrity at the assigned location. This position does not carry hiring, termination, or disciplinary authority; all such decisions remain with the Store Manager and HR.
Core Responsibilities
Inventory Control & Management (Primary Responsibility)
· Delivery Intake & Receiving: Accept and verify all incoming product deliveries against purchase orders and manifests; inspect for accuracy, quality, and compliance; document discrepancies immediately and escalate to the Store Manager.
· Catalog Maintenance: Create, update, and maintain accurate product catalog entries in the point-of-sale (POS) and inventory management systems; ensure all SKUs, pricing, and product information are current and correctly categorized.
· Stock Level Monitoring: Conduct regular stock-level reviews and cycle counts; identify low-stock or out-of-stock conditions; communicate reorder needs to the Store Manager in a timely manner.
· Track-and-Trace Compliance: Perform daily state-mandated track-and-trace reconciliation; ensure all inventory movements — intake, sales, transfers, and adjustments — are accurately recorded in the required state compliance system.
· Inventory Reconciliation: Investigate and resolve inventory discrepancies between physical counts and system records; document findings and corrective actions; report unresolved variances to the Store Manager.
· Product Storage & Organization: Ensure all products are stored correctly, labeled accurately, and organized in compliance with state regulations and company standards; maintain appropriate environmental conditions for product integrity.
· Waste & Destruction Documentation: Accurately record and document all product waste, damage, or destruction in accordance with state regulatory requirements and company policy.
· Shrinkage Prevention: Monitor inventory for signs of loss, theft, or mishandling; implement and reinforce loss-prevention practices; report concerns immediately to the Store Manager.
· Returns & Transfer Processing: Process customer returns and inter-location product transfers accurately and in compliance with applicable regulations; update inventory records accordingly.
· Inventory Reporting: Generate and submit regular inventory reports to the Store Manager, including cycle count summaries, variance reports, and reorder recommendations.
Workflow Direction & Team Support
· Assign daily tasks to team members based on shift priorities; provide clear instructions and monitor task completion.
· Foster a positive, collaborative work environment; promote teamwork, recognize individual contributions, and address team member concerns by offering support or escalating to the Store Manager as appropriate.
· Provide ongoing coaching and constructive feedback to help team members improve performance.
· Identify team members with potential for advancement and recommend them to management.
· Provide input to the Store Manager regarding performance concerns and recommend coaching as needed.
Customer Experience & Sales
· Engage with customers directly during the shift; take orders, resolve complaints politely and efficiently, and escalate unresolvable issues to the Store Manager.
· Ensure all team members are current on active specials, promotions, and new product offerings; drive customer education and sales.
· Model the customer service standards expected of the full store team.
Operations & Compliance
· Ensure team member adherence to all state cannabis compliance regulations throughout the shift.
· Monitor equipment and supplies; identify and report any issues to the Store Manager immediately.
· Contribute to maintaining a clean, safe, and organized store environment; participate in cleaning and organizational tasks as needed.
· Handle opening and closing procedures as directed; ensure setup and shutdown are completed correctly.
Administrative
· Maintain accurate records of sales, inventory, and other relevant shift data in compliance with state regulations and company policy.
· Complete all required shift documentation and reports on time.
· Stay current on company policies, procedures, and promotional initiatives; ensure team adherence.
Qualifications
Required
· Minimum 2 years of prior retail or warehouse experience, with demonstrated inventory management responsibilities.
· Proficiency with inventory management systems, point-of-sale software, and Microsoft Office applications.
· Must be 21 years of age or older and meet all state requirements for working in a licensed cannabis operation.
· Strong attention to detail, organizational skills, and ability to maintain accurate records under time pressure.
· Strong communication, decision-making, conflict resolution, and problem-solving skills.
Preferred
· Prior experience with state cannabis track-and-trace systems (e.g., Metrc, BioTrack).
· Prior supervisory or team lead experience in a retail or inventory environment.
· Prior cannabis retail or dispensary experience.
Supervisory Responsibilities
This position directs the daily workflow of store team members during the assigned shift but does not have authority to hire, terminate, promote, or formally discipline employees. All personnel decisions are made by the Store Manager and HR.
Performance Expectations
Performance is reviewed by the Store Manager. Expectations include: inventory accuracy and reconciliation quality, delivery intake and catalog maintenance timeliness, track-and-trace compliance adherence, shift task completion, team engagement and direction quality, customer interaction outcomes, and contribution to store cleanliness and operational standards.
Essential Functions & Physical Demands

Position Type, Hours & Travel
· Full-time or part-time, non-exempt (hourly); hours are variable based on store needs and business conditions. Weekend availability is required.
