Job Description


This position performs clerical, organizational, and operational tasks to keep day-to-day business running smoothly. Ensure that office visitors feel welcome and comfortable.

Job Duties and Responsibilities

  • Manage company-wide communications, such as memos, announcements, and invitations
  • Greet office visitors and callers, making them feel welcome and comfortable, answering any questions, and transferring callers to the appropriate lines
  • Interact regularly with C-suite executives to support with tasks and projects as needed
  • Support the staff as needed by completing various general administrative tasks, such as creating documents, emails, reports, proofreading, sending communications, and filing
  • Assist with company-wide events and meetings
  • Submit work orders for any repairs or maintenance required for equipment or the office space if needed.
  • Maintain executive calendars and coordinate appointments.
  • Monitor office and breakroom supply levels, place orders for refills and assist in restocking
  • Manage travel arrangements
  • Manage receipt entry and documentation within Ramp, maintaining accurate financial records
  • Collect and distribute mail and deliveries
  • Perform other duties assigned within the scope of the position

Education and Experience

  • High School Diploma/GED
  • Associate or bachelor's degree in business administration or related field is a plus
  • 1-3 years proven experience in administrative support, clerical work, or office management

  • Detail-oriented precision in all areas of work
  • Strong organizational skills, including the ability to manage multiple schedules and calendars
  • Ability to prioritize tasks according to urgency and meet tight deadlines
  • Proficiency with basic office equipment and office management software
  • Strong interpersonal skills, both in person and over the phone
  • Ability to comfortably multitask and shift gears throughout the workday
  • Excellent writing skills (preferred)
  • Ability to handle confidential and sensitive information with good judgement.
