Summary/Objective

The Office Administrator keeps the office running. This role provides direct support to the CEO, manages the day-to-day flow of the facility, and serves as the connective tissue between executives, staff, and outside partners. Because this position touches nearly every department and is often the first point of contact for anyone who interacts with Grunt Style, the person in this role is expected to bring genuine energy, hospitality, and professionalism to every interaction.

This is not a background role. It requires someone who holds themselves to a high standard, communicates clearly, and leads by example in the way they show up every day.


Essential Functions

Administrative and Executive Support

  • Provide direct administrative support to the CEO, including calendar management, correspondence, and meeting coordination
  • Serve as the primary point of contact among executives, employees, and external partners
  • Manage information flow in a timely and accurate manner
  • Arrange travel and accommodations for CEO as needed
  • Screen, direct, and distribute correspondence appropriately
  • Handle sensitive and confidential information with discretion at all times

Office and Facility Operations

  • Maintain and strengthen relationships with vendors, service providers, and the landlord
  • Coordinate equipment maintenance and facility needs as they arise
  • Accept, log, and distribute packages and deliveries
  • Stock and manage office supplies
  • Assist other departments with day-to-day operational needs as requested
  • Perform other administrative duties as assigned

Required Education and Experience

  • Minimum 5 years of related administrative or office operations experience, or an equivalent combination of education and experience
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Strong organizational and time management skills; able to manage multiple priorities simultaneously without losing accuracy or attention to detail
  • Excellent verbal and written communication skills
  • Demonstrated ability to handle sensitive information with discretion and maintain confidentiality
  • Self-starter who takes initiative and does not require constant direction
  • Positive, professional demeanor with a genuine service orientation

Supervisory Responsibility

This position has no supervisory responsibilities.


Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.


Physical Demands

This role requires the ability to lift files, open filing cabinets, stock supplies, and bend or stand as necessary.


Position Type and Expected Hours of Work

This is a full-time position. Days and hours of work are Monday through Friday, 8:30 a.m. to 5 p.m. 40 hours.
