Job Summary

The Office Administrator oversees daily office operations and provides backup support for mail processing. This role ensures accurate handling of confidential information, timely distribution of mail and packages, and coordination with vendors and building management for office upkeep. This role is ideal for someone who has initiative, can work individually, thrives in a dynamic environment, enjoys creating a welcoming workplace, and can juggle multiple responsibilities with ease. 


Job Responsibilities

  • Handle confidential information, including PII, with discretion and professionalism.
  • Oversee incoming and outgoing mail and packages in compliance with company procedures.
  • Manage inbound mail workflow efficiently, including opening, sorting, scanning, distribution, and processing of checks.
  • Maintain organized and secure mail storage systems.
  • Ensure the office environment is clean, safe, and well-stocked. 
  • Coordinate with building management and vendors for security, safety, maintenance, repairs, and improvements. 
  • Manage employee and guest access by setting up and deactivating badges for employees, adding guests to visitor lists, and ensuring proper access control.
  • Issue and track parking passes for employees and visitors.
  • Manage office supplies inventory and place orders as needed. 
  • Proactively support in-office activities that foster a collaborative, team-focused environment.
  • Coordinate catering, office space reservations, and related event logistics for onsite employee meetings and events.
  • Welcome guests and employees with professionalism and courtesy.
  • Coordinate and manage special projects as assigned.

Requirements

  • 1-3 years experience in an office management, administrative, or similar role in a professional office environment
  • Strong organizational and time management skills, with the ability to manage multiple priorities and deadlines
  • Exceptional attention to detail and accuracy in all work outputs
  • Demonstrated experience with data entry and maintaining organized records
  • Excellent written and verbal communication skills in a business setting
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) with the ability to support day-to-day office operations
  • Experience handling confidential and sensitive information with a high level of discretion and professionalism
  • Ability to work independently, take initiative, and anticipate office needs
  • Hands-on experience with mail handling, shipping, and office logistics (preferred)
  • Prior experience supporting office administration functions, including vendor coordination, supplies management, and general office operations


Remote Work Information

Compensation Information

The average salary for this position is expected to be between $40,000 and $50,000/year however, base pay offered may vary depending on multiple individualized factors, including market location, job-related knowledge, skills, and experience. We do not anticipate candidates to be paid at the top of the range however, from time to time, it may occur on a case-by-case basis.
