    GENERAL DESCRIPTION OF POSITION
    Responsible for maintaining current and accurate student registration in the state computer program and to have this information readily available to supervisors and district personnel.  Entering data student profiles, grades, master schedules and other student records.  Working with various schools and institutions to secure student information for educational purposes.

    ESSENTIAL DUTIES AND RESPONSIBILITIES

    • Enrolling and withdrawing student by entering biographical data into database.  Securing residential information, educational and health data.  Compile a file for every new student.  All work completed in a timely manner.
    • Maintain student files by preparing transcripts, keeping files for foreign exchange students and shredding dated documents. Enter, transfer, or drop students to maintain daily enrollment.  Maintain all files, forms, paperwork and students information in a manner that makes it accessible to supervisors and other office personnel.
    • Securing students educational information from various schools, institutions and shelters.  Working with various supervisors and registrars from other institutions to obtain student information.
    • Input of student grades into database.  Maintain student and/drop list on weekly basis.
    • Working with the master schedule to keep up with courses, sections, periods and teachers.
    • Place students in homeroom and assign teacher schedule for each student and place in master schedule.
    • Enter absences, late arrivals and early check outs each day.  Run daily, quarterly and yearly attendance reports as needed.  Daily file sick notes and excused absence reports.
    • Working with juvenile courts system to secure student information for probation officers.
    • Enter discipline incidents into computer database.  Send and receive records as requested.
    • Appropriately greet each person who enters the office and assist them in whatever the need may be.  This usually involves assisting parents, guardians, teachers and guests.
    • Answer emails, telephone, take messages, give information or find the appropriate recipient.  Type and copy letters and forms for parent/student handout or mail outs.
    • Monitor district radio on a daily basis; especially when students are being transported to and from school and during inclement weather.
    • Assist PTA by providing lists for their various projects.
    • Perform any other related duties as required or assigned.


    QUALIFICATIONS
    To perform this job successfully, an individual must be able to perform each essential duty mentioned satisfactorily.  The requirements listed below are representative of the knowledge, skill, and/or ability

    EDUCATION AND EXPERIENCE
    High school, plus specialized schooling and/or on the job education in a specific skill area; e.g. data processing, clerical/administrative, equipment operation, etc, plus 12 to 18 months related experience
    and/or training or equivalent combination of education and experience.
     

    PUBLIC CONTACT
    Regular contacts with patrons, either within the office or in the field. May also involve occasional self- initiated contacts to patrons.

    EMPLOYEE CONTACT
    Contacts with other departments or offices and also frequently with individuals in middle level positions; consulting on problems which necessitate judgment and tact in presentation to obtain cooperation or
    approval of action to be taken. Also, important contacts with associates as required in advanced supervisory jobs.
