Office Assistant I
Performs responsible skilled clerical work requiring a qualified typist and word processing user; does related work as required. Work is performed under regular supervision. Supervision may be exercised over subordinate clerical personnel.
Office Assistant II
Performs intermediate administrative support work greeting, assisting and directing visitors; answering telephone; providing general information; typing documents; preparing and maintaining files and records; does related work as required. Work is performed under the moderate supervision of the assigned supervisor.
Office Assistant III
Performs difficult administrative support work greeting, assisting and directing visitors; answering telephone; providing general information; typing documents; preparing and maintaining files and records; does related work as required. Work is performed under the limited supervision of the assigned supervisor.
Essential Functions/Duties
Office Assistant I
- Serves as receptionist, receives calls and/or visitors and directs them to proper sources; answers telephones, receives complaints, messages and requests for several employees; performs secretarial duties for various boards and committees; operates standard office equipment including computer terminal and word processor; answers inquiries in person or by phone or relays same to proper officials; collects, prepares and disseminates data for various reports, forms and other materials; assists in the routing of all materials, mail, and records; maintains mailing lists, files and card indexes; makes mathematical calculations; picks up, sorts and routes mail for department; assists as necessary in processing all personnel paperwork; files correspondence and reports; creates and maintains detailed files or lists as needed. Performs related duties as required.

Knowledge, Skills and Abilities
Office Assistant I, II
General knowledge of standard office practices and procedures, equipment and secretarial techniques; general knowledge of business English, spelling and arithmetic; ability to type accurately and at a reasonable rate of speed; ability to use word processor in a data processing environment; ability to make arithmetical calculations; ability to meet the public effectively; ability to maintain and establish effective working relationships with others; ability to follow oral and written instructions.
Office Assistant III
Thorough knowledge of standard office practices, procedures, equipment and office assistance techniques; thorough knowledge of business English, spelling and arithmetic; thorough knowledge of City and department programs and policies; ability to operate standard office equipment and perform basic word processing and/or data entry; ability to establish and maintain effective working relationships with associates and the general public.Education/Experience/Physical Demands/Special Requirements/Additional Information
Office Assistant I
High school diploma, basic knowledge of PC, one (1) year experience as Office Assistant and typing speed of 35 words per minute.
Office Assistant II, III
Graduation from high school or equivalent and moderate experience in office support, or equivalent combination of education and experience.
Physical Demands:
1. The physical activity of this position includes:- Stooping: Bending body downward and forward by bending spine at the waist. This factor is important if it occurs to a considerable degree and requires full use of the lower extremities and back muscles.
- Lifting: Raising objects from a lower to a higher position or moving objects horizontally from position to position. This factor is important if it occurs to a considerable degree and requires the substantial use of upper extremities and back muscles.
- Fingering: Picking, pinching, typing or otherwise working, primarily with fingers rather than with the whole hand or arm as in handling.
- Grasping: Applying pressure to an object with the fingers and palm.
- Feeling: Perceiving attributes of objects, such as size, shape, temperature or texture by touching with skin, particularly that of the fingertips.
- Talking: Expressing or exchanging ideas by means of the spoken word. Those activities in which they must convey detailed or important spoken instructions to other workers accurately, loudly, or quickly.
- Hearing: Perceiving the nature of sounds at normal spoken word levels with or without correction. Ability to receive detailed information through oral communication, and to make fine discriminations in sound, such as when making fine adjustments on machined parts.
- Repetitive Motions: Substantial movements (motions) of the wrists, hands and/or fingers.
2. The physical requirements of this position:- Office Environment Work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Office environment work involves sitting most of the time. Jobs are categorized as office environment if walking and standing are required only occasionally and all other Office Environment Work criteria are met.
3. The visual acuity requirements including color, depth perception and field of vision:- The worker is required to have close visual acuity to perform one or more of the following: preparing and analyzing data and figures; accounting; transcription; computer terminal; extensive reading;

Office Assistant II
Special Requirements/Additional Information:
Valid North Carolina driver's license.
Must pass beginning level PC applications (Word, Excel) test upon hire
Two (2) years progressive experience as Office Assistant
Accurately type 45 words per minute.
Office Assistant III
Valid North Carolina driver's license.
Must pass intermediate level PC applications (Word, Excel) test upon hire
Three (3) years progressive experience as Office Assistant
Accurately type 45 words per minute
Drug screening and criminal background check required.
