About the Department

WHAT YOU'LL DO

Under the general supervision of an assigned supervisor, perform a variety of office support, clerical, and routine secretarial duties of a general or specialized nature.

There is currently one full time (12 months/year 40 hours/week) position located at Ventura College.

This recruitment is being conducted to establish a list of eligible candidates that will be used to fill district-wide, current and upcoming, non-bilingual and bilingual, temporary and regular vacancies for the duration of the list, not to exceed one year.

Established in 1925, Ventura College was one of the first community colleges in California and currently has an enrollment of 14,500 students. Located approximately 60 miles north of Los Angeles and 30 miles south of Santa Barbara, the 112-acre campus is set in the rolling hills of Ventura – so close to the ocean that there is a clear view of the Channel Islands from several spots on campus.

SALARY PLACEMENT
New Employees:
Generally, new employees are placed on the first step of the appropriate range of the salary schedule.

Current Employees: An employee who is promoted will be placed on the salary step of the new range of the appropriate salary schedule that provides a minimum increase comparable to a one-step increase in salary.
   
New and current employees may be eligible for advanced step placement as outlined in Section 290 – SALARY PLAN in the Rules of the Personnel Commission for Classified Employees.

Position Duties

Serve as receptionist for assigned area; receive office and telephone callers; provide general and technical information in accordance with established guidelines. E
 
Verify and review materials such as applications, records, files, and reports for completeness and conformance with established regulations and procedures; apply applicable policies and procedures in determining completeness of applications, records, files, and reports; collect and process appropriate information. E
 
Prepare, review, edit, and proofread a variety of documents and forms including general correspondence, agendas, requisitions, purchase orders, reports, minutes, and memoranda from rough draft, recordings, or verbal instruction; disseminate information as appropriate. E
 
Maintain accurate and up-to-date files and records for assigned areas; develop and monitor various logs, accounts, and files for current and accurate information; maintain and generate reports from a database or network system; verify accuracy of information and research discrepancies. E
 
Perform a variety of routine clerical accounting duties and responsibilities pertaining to financial record keeping and reporting; compile information and data for statistical and financial reports; check and tabulate data; maintain a variety of accounting records, logs, and files. E
 
Produce newsletters, brochures, technical handouts, and other specialized documents using desktop publishing software and other computer applications. E
 
Receive, sort, and distribute incoming and outgoing correspondence. E
 
Maintain office supplies and inventories; order, receive, and maintain office supplies and equipment; prepare requisitions, purchase orders, and work order forms. E
 
Maintain calendar of activities, meetings, and various events; schedule appointments; reserve facilities for specific uses. E
 
Assist in the preparation and distribution of meeting agendas and associated material; take and prepare minutes. E
 
Make reservations and travel arrangements; process a variety of travel and expense forms. E
 
Assist in training and providing work direction to student workers. E

Work collaboratively and professionally with faculty, staff, students, and stakeholders from diverse academic, socioeconomic, cultural, disability, gender identity, and ethnic communities.

Education:   Graduation from high school or evidence of equivalent educational proficiency.
 
Experience:   One year of responsible clerical experience involving public contact and the use of a computer and office applications OR two years of customer service experience that required the use of computer applications to enter and retrieve information.

EXAMINATION AND SELECTION PROCESS:

This is an examination open to the public and current district employees seeking a promotional opportunity. To ensure consideration, please submit your application materials by the posted deadline date on this bulletin.

The examination process may consist of any of the following components:

A) Written/Performance Test = Qualifying (pass/fail)
B) Technical Interview = 100% weighting on final score

WRITTEN TEST DATE RANGE AND LOCATION:

Date Range: Friday, June 26, 2026 to Thursday, July 2, 2026     

Location: All candidates who meet the minimum qualifications will be emailed a link to the test on Friday, June 26, 2026 and will have until 11:59 pm on Thursday, July 2, 2026 to complete the test. To participate in the written/performance test, you must have access to a computer and a reliable connection to the internet.


The top candidates with the highest passing scores on the written/performance test will be invited to the technical interview.


TECHNICAL INTERVIEW DATE RANGE AND LOCATION:

Date Range: Tuesday, July 14, 2026 to Monday, July 20, 2026

Location: The Technical Interview will be conducted remotely, using Zoom. To participate, you must have access to a computer with a camera, microphone, speakers, and a reliable connection to the internet.

 

The examination components and dates are subject to change as needs dictate. All communication regarding this process will be delivered via email.


SUBMISSION OF APPLICATION:

Applicants must meet the minimum qualifications as stated, including the possession of licenses, certifications, or other requirements, by the filing deadline in order to move forward in the recruitment process. You must attach copies of any documents that demonstrate your attainment of the minimum qualifications (e.g., unofficial transcripts, foreign transcript evaluation, copies of any required licenses, and/or certifications). Failure to submit any required documents may result in disqualification. All required documentation must be attached to your application; Human Resources staff will not upload your documents for you. ELIGIBILITY LIST: Upon completion of the examination, the eligibility list will be compiled by combining the final examination score with applicable seniority and veteran's credits, if any. The candidates will be ranked according to their total score on the eligibility list. Certification will be made from the highest three ranks of the eligibility list. This eligibility list will be used to fill current vacancies for up to one year from the date of the technical interview.


PROBATIONARY PERIOD:
All regular appointments made from eligibility lists for initial appointment or for promotion, with certain exceptions, shall be probationary for a period of six (6) months or one hundred thirty (130) days of paid service, whichever is longer. Classified management, police, and designated executive classifications shall be probationary for a period of one (1) year of paid service from initial appointment or promotion.

Paid Holidays: The Ventura County Community College District offers 15 paid holidays per year, plus 2 additional floating holidays.

Paid Vacation:  
Full-time classified employeesearn vacation leave based on years of continuous service: 

  • 6 months - 3 years: 8 hours per month, plus 3 additional days between Christmas and New Year's Eve. 
  • 3 - 10 years: 10 hours per month, plus 3 additional days between Christmas and New Year's Eve. 
  • 10+ years: 13.3 hours per month, plus 3 additional days between Christmas and New Year's Eve. 
Administrators, managers, and full-time supervisory and confidential employees accrue 13.33 hours per month for each month they are in paid status, plus 3 additional days between Christmas and New Year's Eve.

Health Benefits: The District contributes up to the full premium cost of the PPO 90C or Kaiser HMO plan (whichever is higher) toward any eligible medical plan for full-time employees and their eligible dependents. Dental, vision, and Basic life insurance premiums for full-time employees and their eligible dependents are also District paid. 

Benefit providers available to eligible full-time and part-time (50% or more) classified employees include: 
  • Medical: Anthem PPO and HMO Plans, Kaiser Permanente HMO Plan 
  • Dental: Delta Dental DHMO or PPO Plus Premium

Retirement: Eligible employees in positions of 20 or more hours per week are enrolled in CalPERS (California Public Employees' Retirement System). Paid Sick Leave: All full-time management, supervisory, confidential, and classified employees (probationary and permanent) earn one day of sick leave per month in a paid status, accumulating 12 days per fiscal year for full-time employees. Unused sick leave accumulates without limit.
