About this role

We are seeking a highly organized and proactive Office Manager & Executive Assistant to join our Boston team. This role sits at the center of office operations and executive support, playing a critical role in enabling a seamless employee and client experience while providing high‑quality administrative support to senior bankers.
 
This role will be responsible for ensuring the Boston office runs smoothly day-to-day while managing and coordinating complex calendars, travel, and other priorities for senior leadership.

Key Responsibilities:

Office Management & Boston Office Operations
  • Serve as the primary on‑site point of contact for the Boston office, ensuring a professional, welcoming, and well‑run environment at all times.
  • Oversee day‑to‑day office operations including facilities coordination, office supplies, catering, and vendor management.
  • Act as the first point of contact for visitors, clients, and external partners; manage meeting room setup, visitor access, and hospitality.
  • Liaise with building management, external service providers, and internal teams to resolve facilities or office‑related issues quickly and proactively.
  • Coordinate local health, safety, and office compliance requirements as needed.

Executive Assistant Support:
  • Provide high‑quality administrative support for multiple Managing Directors and senior bankers.
  • Manage complex calendars, meeting requests, and scheduling logistics, proactively resolving conflicts and prioritizing requests.
  • Coordinate domestic and international travel, including flights, accommodations, ground transportation, and itinerary management.
  • Prepare and submit expense reports in line with internal policies; partner with Finance to resolve questions or discrepancies.
  • Assist with meeting preparation, document coordination, and other administrative support as needed for client and internal meetings.

Team & Business Support:
  • Provide general administrative support to the broader Boston banking team, flexing across priorities as required.
  • Support onboarding logistics for new joiners in collaboration with HR and IT, including workspace setup, systems access, and first‑day coordination.
  • Assist with the planning and execution of internal events, team meetings, and office initiatives that strengthen culture and engagement.
  • Partner closely with other EAs and Office Managers across Equiteq to ensure consistency of standards, processes, and support.

What are we looking for?

Knowledge & Experience:
  • 3-5 years of experience in an office management, executive assistant, team assistant, or similar administrative role, ideally within a professional services, financial services, or fast‑paced corporate environment.
  • Strong organizational skills with the ability to manage multiple priorities, work under pressure, and anticipate needs.
  • Confident communicator, comfortable interacting with senior stakeholders, clients, vendors, and colleagues at all levels.
  • High degree of discretion and professionalism when handling confidential information.
  • Proficiency in Microsoft 365 (Outlook, Word, PowerPoint, Excel); familiarity with expense management tools is a plus.
  • A proactive, solutions‑oriented mindset with a willingness to take ownership and continuously improve how the office and support function operate.
  • Desire to learn about and leverage artificial intelligence in day-to-day operations

Compensation

The expected salary range for this position in Boston is between $75,000 to $85,000 annually. The offered salary may vary based upon various factors including individual experience and skills.
Equiteq employees are also eligible to participate in a discretionary bonus scheme, based on personal and team performance, and receive a range of benefits including medical, dental and vision insurance, 401k match and a minimum of 20 days PTO.
