About the Role

We are seeking an Office Manager with a proactive, get-it-done attitude and welcoming presence to oversee office operations and administrative tasks. Key responsibilities include coordinating office resources, supplies, and assets; assisting the human resource function by ensuring a seamless onboarding and offboarding process; and fostering a positive workplace culture while ensuring compliance with company standards. The ideal candidate thrives in a dynamic environment and excels at coordinating diverse responsibilities.



Responsibilities

  • Manage office operations and procedures, including but not limited to:
    • Supplies, equipment, and assets
    • Mailing and shipping
    • Maintenance and repairs
    • Third-party office vendors
    • Workstations, offices, and conference rooms
  • Provide direct administrative support, including scheduling meetings, booking travel, maintaining file systems, and updating employee database lists
  • Coordinate guest visits to the office, ensuring compliance with office security requirements
  • Implement, maintain, and communicate company policies and procedures
  • Facilitate onboarding and offboarding processes, including system access, assets and equipment, documentation and paperwork, workspace allocation, and required training
  • Assist with annual SOC compliance audit through continuous creation of compliance artifacts, as required
  • Assist hiring managers with seeking qualified candidates by creating job postings, screening applicants, and scheduling interviews
  • Oversee the office budget, ensure accurate and timely reporting of expenses
  • Assist with the accounting function by generating/ distributing invoices and other relevant tasks as they may be assigned
  • Address employee queries regarding office management issues
  • Plan in-house company meetings
  • Perform other tasks as assigned by the CEO, other executives, and management team members

 


Qualifications

  • College education or equivalent experience
  • 2+ years of experience as an Office Manager, Administrative/Executive Assistant
  • Knowledge of Office Administrator responsibilities, systems, and procedures
  • Knowledge of accounting concepts and QuickBooks Desktop is a plus
  • A professional and positive demeanor with the ability to effectively manage executive expectations, urgent tasks, and projects
  • Excellent time management skills and ability to multitask and prioritize work
  • Exceptionally well organized
  • Independent, resourceful, and creative
  • Proactive, a problem solver by nature, who can assist with time-sensitive and diverse challenges on a day-to-day basis, as critical support is needed
  • High attention to detail
  • Excellent written and verbal communication skills
  • Maintain strict confidentiality regarding employee, customer, financial, and company-sensitive information
  • Technologically savvy and willing to learn new systems
