    Amherst Middle School - Office Manager (Anticipated)

    Position Overview:

    The office manager performs a variety of managerial and office duties fully respecting the confidential nature of the work, within the authority delegated by school principal. The individual in this position discharges duties in a professional manner, represents the school in a positive way, and works in accordance with District policies and regulations.  The Amherst Middle School office manager works to coordinate front office and school operations, such as financial accounting, ordering, supplies, and coordinating substitute coverage, while assisting in any way needed. The office manager must have the ability to adapt to new technologies and software programs to support the overall effectiveness of the school. 

    Example of Responsibilities:

    Substitutes

    • Manage staff absences/substitute assignments (Aesop/Frontline)
    • Assist staff in entering absences
    • Assist substitutes in taking assignments, matching preferences & needs
    • Greet and support subs with general and daily school information, assigned teacher's schedules, attendance lists, and lesson plans
    • Maintain time sheets for each sub and submit bi-weekly to SAU according to published schedule
    • Manage unexpected absences occurring during the day as well as unfilled assignments


    Professional Development

    • Manage and process staff professional development for AMS staff including PD approvals and purchase orders 


    Building Use and Security

    • Manage/update building access schedules
    • Order access badges for new staff and manage users
    • Participate in Incident Command System (ICS) team
    • Manage building use calendars for internal and external events


    Assisting the Principal

    • Assist and/or manage crisis situations
    • Calendar  - Basic information e.g. school year calendar with vacations & holidays; schedule school events and visits with outside vendors; regularly scheduled meetings, schedule principal's appointments
    • Assist with professional memberships, subscriptions, and renewals


    Budget Related Duties

    • Create purchase orders (Infinite Visions: School ERP Pro)
    • Place orders with vendors for supplies
    • Invoice Management
    • Create stipends for staff
    • Manage student activities fund, visit the bank to withdraw and deposit funds as needed


    Qualifications

    • High school diploma or equivalent
    • Skilled in all Office Programs (Word, Excel, etc.), Google Suite, and PowerSchool (preferred)
    • Ability to maintain high level of confidentiality
    • Good organizational and technical skills
    • Thorough knowledge of record keeping and filing techniques


    Ability to

    • Multitask in extremely busy environment
    • Work independently
    • Communicate and interact effectively with others
