Type: Full-Time

About Chêne:

At Chêne, we build gear for hunters who demand more — more from their equipment, more from their experience, and more from the brands they trust. We believe in things made right, built to last, and backed by service that honors the people who use them. Every decision we make ties back to that standard.

As we continue to grow, we are looking for a highly organized, proactive, and service-minded Office Manager/Executive Assistant to help keep our team aligned, our office running smoothly, and our leadership team focused on what matters most.

Why this Role Exists:

The Office Manager/Executive Assistant serves as the operational backbone of the Memphis office. This role is responsible for creating structure, organization, and efficiency across the business while providing high-level administrative support to the executive leadership.

This individual will manage office operations, coordinate meetings and events, oversee administrative processes, and act as a trusted partner to company leaders. The ideal candidate is highly organized, resourceful, detail-oriented, and thrives in a fast-paced environment where priorities can shift quickly.

What You’ll Do:

Executive Support:

  • Manage the executive team’s calendar, scheduling priorities, and meeting cadence
  • Prepare executive briefings and meeting summaries to ensure leaders are prepared
  • Organize information, ideas, and action items into clear and actionable formats
  • Coordinate follow-up on key initiatives and commitments
  •  Support strategic projects and special assignments as needed

Leadership Support:

  • Develop agendas and prepare meeting materials
  • Take meeting notes and document key decisions
  • Track action items and ensure commitments are followed through
  • Help create accountability and alignment across the leadership team
  • Identify gaps, bottlenecks, and opportunities for improved communication and execution
  • Help drive organizational discipline and follow-through throughout the business

Office Operations & Hospitality

  • Oversee day-to-day office operations and workplace organization
  • Coordinate office hospitality, meals, and visitor experiences
  • Ensure guests, customers, candidates, and partners receive a professional Chêne experience
  • Support employee events and company gatherings
  • Assist with onboarding new employees by preparing workstations and office orientation

Property & Vendor Coordination

  • Coordinate facility maintenance, repairs, and vendor relationships
  • Manage office-related projects and improvements
  • Ensure company facilities remain organized, functional, and representative of the Chêne brand

Qualifications:

  • 3+ years of experience supporting executives, leadership teams, or office operations
  • Exceptional organizational and project management skills
  • Strong written and verbal communication abilities
  • Ability to handle confidential information with professionalism and discretion
  • Experience coordinating executive travel, meetings, and events
  • Highly proficient with Microsoft Office, Outlook, Teams, and calendar management tools

What success looks like:

  • Executive schedules are organized and optimized
  • Meetings are productive, action-oriented, and well documented
  • Executive Leaders have the information they need before meetings and clear next steps afterward
  • Office operations run smoothly with minimal oversight
  • Key initiatives move forward because someone is driving accountability and follow-through
  • The executive leadership team can focus on leading the business rather than managing logistics.
  • Visitors experience a professional and welcoming Chêne environment
