Description

JOB PURPOSE: To manage routine office operations for Friends of the Kalamazoo Public Library (FKPL) and the Friends Bookstore. 


DUTIES AND RESPONSIBILITIES include but are not limited to: 


Board and Committee Support 

  • Facilitate organization’s meetings through scheduling, recording, and disseminating information. 
  • Attend Board and Committee meetings as needed. 
  • Collaborate with the Bookstore Manager and Bookstore Committee as needed. 

Administrative Duties 

  • Manage routine office operations 
  • Copy and maintain policies, generate organizational forms and documents such as coupons and bookmarks, maintain and update data bases. 
  • Support committee operations as needed. 
  • Purchase and maintain office supplies, capital outlay items and parking vouchers. 
  • Assist on-line sales. 

The ideal candidate should be proficient in Excel, Publisher, MS Word or its equivalent, have experience in advertising, MailChimp, desktop publishing, and document creation;  have excellent organizational skills , be a self -starter who is able to work with minimal supervision and be able to work collaboratively with KPL staff, Bookstore Manager, Directors and volunteers. 


REPORTS TO: Board of FKPL and co-ordinates with the Bookstore Manager. 


SALARY AND HOURS:  The starting salary is $15.00 per hour. It is a part-time, paid position of 20 hours per week, ideally 5 hours per day, 4 days per week but the schedule may be flexed depending on the needs of the Office Manager, Bookstore Manager and the Bookstore. Some of the hours may be worked from home with the pre-approval of the FKPL president and the Bookstore Committee Chairperson.  


PHYSICAL DEMANDS AND WORK ENVIRONMENT 

Physical demands: The employee is required to travel independently within the office and patron areas of the library and in the areas served. In work environments the position requires verbal and written conversation with others, sitting, standing, walking, reaching, lifting/moving objects up to 35 pounds, and use of hands and fingers to handle or feel objects, tools or controls. The position occasionally requires standing, walking and sitting for extended periods. Vision abilities required include close vision.  

Work environment: Work will be performed in a retail environment. The noise level is usually low to moderate.
