The Universal Tool Office Manager is responsible for coordinating daily office operations while supporting purchasing, order management, and inventory control. This role ensures accurate recordkeeping, reporting, and ERP system updates, while maintaining efficient communication with customers and internal teams. The position also supports safe and accurate warehouse activities, including shipping, receiving, inventory management, and material handling.
ESSENTIAL JOB FUNCTIONS:

- Manage and coordinate office operations, maintain records, purchasing, and inventory control systems
- Manage and maintain office equipment, service contracts, and systems
- Deliver reports to management and customers, ensuring accuracy and adherence to timelines
- Create and track all sales orders and purchase orders, and ensure accurate order entry and follow-up
- Accurately record shipment information in the company ERP system, use 3rd party logistics software, and safely package goods for shipment
- Report shipment discrepancies and non-conformances to the Site Manager or the Team Leader
- Accurately fill orders from shelf inventory or daily receipts
- Safely use equipment such as a forklift, pallet jack, and hand cart to move material
- Put material away in the correct warehouse locations
- Perform inventory counts; identify and record discrepancies
- Work with the Site Manager or the Team Leader to investigate and resolve inventory discrepancies
- Receive invoices from subcontractors
- Maintain record retention of documents
- Manage inventory at customer sites, ensuring adequate quantities, and purchase inventory based on the predetermined item plans
- Recognize and implement cost savings strategies
- Assist with general tool-related support tasks as needed
- Provide excellent customer service to internal and external customers
- Report and document Quality Events (CARs, Continuous Improvements, etc.)

Requirements
KNOWLEDGE, SKILLS, AND ABILITIES:
- Excellent organizational, verbal, and written communication skills with a keen eye for details
- Ability to work independently, as part of a team, and multitask
- Basic knowledge of materials and tooling preferred
- Proficient with Microsoft Office Suite or related software
- Possess excellent interpersonal, negotiation, and conflict resolution skills
- Proficiency in Business Central is preferred
EDUCATION AND EXPERIENCE:
- Bachelor’s degree in Business Administration, or related fields, preferred
- 2-5 years of experience in office management or related fields preferred
PHYSICAL REQUIREMENTS:
- Prolonged periods of sitting at a desk and working on a computer
- Ability to lift up to 40 pounds, work while standing or walking for extended periods
- Must be able to access, navigate, and work within a manufacturing facility or area that may or may not be temperature-controlled for extended periods
