Role Description: The Receptionist serves as the first point of contact for visitors, customers, and employees at the company's main office. This role is responsible for managing front desk operations, providing exceptional customer service, handling incoming communications, coordinating mail and shipping activities, and supporting administrative functions throughout the organization. The position reports directly to the Vice President of Human Resources.      

  

Major Duties and Responsibilities:

  •         Greet visitors, customers, and vendors in a professional and courteous manner.
  •         Provide outstanding customer service and create a welcoming experience for all guests.
  •         Answer and direct incoming phone calls to the appropriate departments and personnel.
  •         Respond to general inquiries and assist callers with company-related information.
  •         Maintain a clean, organized, and professional reception area and office environment.
  •         Receive, sort, and distribute incoming mail, packages, and deliveries.
  •         Perform daily pickup and distribution of company mail from the local post office.
  •         Process and coordinate UPS and other shipping services as needed.
  •         Schedule, monitor, and maintain meeting room calendars.
  •         Track inventory and order office supplies, equipment, and other administrative materials.
  •         Scan, organize, and maintain company records and files in accordance with company procedures.
  •         Assist with the administration and maintenance of safety documentation, training records, and related compliance activities.
  •         Provide general administrative support to various departments as needed.
  •         Perform other duties and special projects as assigned.

 

Requirements

  •         Previous receptionist, administrative assistant, or customer service experience preferred.
  •         Excellent verbal and written communication skills.
  •         Strong organizational and multitasking abilities.
  •         Proficiency in Microsoft Office Suite, including Outlook, Word, and Excel.
  •         Ability to maintain confidentiality and handle sensitive information professionally.
  •         Strong attention to detail and problem-solving skills.
  •         Ability to work independently and as part of a team.
  •   Professional appearance and demeanor.
