PART-TIME OFFICE ASSISTANT

JOB DESCRIPTION


Under the direct supervision of the Athletic Director, the Office Assistant shall provide a wide variety of complex and confidential administrative support, communicating information to school district employees, students, parents, and others as required. This position will assist in ensuring compliance of department/program activities with legal, administrative, and District policy requirements.

QUALIFICATIONS
Required Education/Certification



  • High school diploma or GED


Required Experience


 



  • Previous successful experience in a similar role


Preferred Experience


 



  • Previous successful experience within a collegiate or high school Athletic Department

  • Knowledge of MHSAA rules and regulations


RESPONSIBILITIES & DUTIES



  • Serve as the first point of contact for students, parents, coaches, officials, and community members, providing professional and courteous customer service.

  • Answer phones, emails, and inquiries, and assist visitors to the Athletic Office.

  • Maintain athletic department records, databases, files, and correspondence.

  • Assist with student registration, eligibility documentation, and athletic participation records.

  • Coordinate and maintain schedules, calendars, and departmental communications.

  • Prepare, process, and maintain purchase orders, invoices, deposits, and other financial records in accordance with district procedures.

  • Assist with budgeting and tracking expenditures as directed by the Athletic Director.

  • Coordinate transportation requests and support event logistics.

  • Assist with facility scheduling and reservations.

  • Manage and update the athletic department website and social media platforms.

  • Prepare and distribute athletic announcements, newsletters, promotional materials, and other communications.

  • Promote athletic events and recognize student-athletes and team accomplishments through various communication channels, including social media.

  • Coordinate end-of-season banquets, awards programs, and other recognition events.

  • Prepare, order, and organize team awards, plaques, certificates, letters, and other recognition materials.

  • Assist with scheduling contests and maintaining game schedules.

  • Confirm assignments with officials and communicate game details as needed.

  • Coordinate and confirm game workers, including ticket takers, scorekeepers, timers, announcers, and other event personnel.

  • Communicate with coaches, officials, schools, and event staff to ensure smooth operation of athletic contests.

  • Support game day operations and special events, including tournament hosting and championship events, as well as coordinating Signing Day.

  • Maintain inventory and order office and athletic supplies as needed.

  • Compile reports, statistics, and information requested by the Athletic Director, district administration, conference, and MHSAA.

  • Maintain confidentiality and exercise discretion when handling sensitive information.

  • Work collaboratively with coaches, district personnel, and community stakeholders to support the mission of the Athletic Department.

  • Perform other duties as assigned by the Athletic Director.

PHYSICAL AND MENTAL DEMANDS, WORK HAZARDS


Work in school environments, including indoor and outdoor athletic facilities. Requires physical stamina, communication skills, and mental alertness. Includes standing, walking, lifting, and navigating athletic spaces. 


 


WORK SCHEDULE



  • Must be willing to work a flexible schedule based on the needs of each athletic season.

  • Regular schedule will require an in-office presence Monday through Friday, approximately 5 hours per day. 

  • Some flexibility on the exact schedule can be provided.

PAY RATE


Starting at $21.00 per hour
