Position Summary:
The Parts Specialist is an opportunity for a highly driven individual who is reliable, detail oriented, disciplined, and hard working. This role will be working closely with other departments. Essential Job Functions & Responsibilities:
- Implement, maintain, and continuously improve an Inventory Management system for all company locations.
- Monitor inventory levels for parts, tires, supplies, and maintenance-related materials across all locations.
- Order all parts and tires as needed to support maintenance operations and minimize equipment downtime.
- Coordinate with Maintenance Managers, Operations Managers, and vendors to confirm part availability, pricing, delivery timelines, and order accuracy.
- Track and record all parts and tire purchases, receipts, returns, credits, and warranty-related items.
- Maintain accurate inventory records, including stock counts, reorder points, usage history, and location-specific inventory needs.
- Manage and update the Purchase Order report daily to ensure all maintenance-related purchases are properly documented.
- Communicate with vendors regarding order issues, invoice discrepancies, missing documentation, credits, or pricing concerns.
- Assist, when needed, with processing parts invoices in the company’s TMS software.
- Participate in weekly facility meetings to review inventory needs, pending orders, vendor issues, and open purchase orders.
- Provide inventory, purchasing, and receipt documentation to the accounting team as needed.
- Be able to type 40 WPM.
Qualifications and Experience:
- High school diploma or general education degree (GED) required.
- 2-3+ years of experience with parts ordering, inventory tracking, fleet maintenance, or warehouse-related processes preferred.
- Ability to use Microsoft Excel, Word, Outlook, and inventory or maintenance management software.
- Familiarity with accounting, purchase order, invoice, and inventory tracking processes.
- Strong organizational skills with the ability to maintain accurate records across multiple locations.
- Ability to consistently meet deadlines and follow up on pending orders, open purchase orders, and vendor issues.
- Strong communication skills with the ability to work effectively with vendors, accounting, operations, and maintenance leadership.
- Other tasks as necessary.
Compensation:
- The pay depends on experience ($20.00/hour - $27.00/hour).
Schedule:
- Monday – Friday (Some weekends).
