Position Overview


The Patient Services Representative plays an important role in supporting Harbor Care's mission by serving as the primary contact for new and established patients accessing Harbor Care services, while providing excellent customer service in a fast-paced, high volume environment. 

 

This position is responsible for managing our patients schedules, appointments, information and processing through accurate data entry to ensure timely patient flow, while helping create a safe, supportive, and person-centered environment for our clients, staff, and community partners.

What You'll Do

 

Key Responsibilities

  • Adhere to established organizational policies and procedures.
  • Provide excellent customer service and maintain professional patient interactions.
  • Schedule, manage, and confirm patient appointments in accordance with provider templates and organizational standards to support efficient patient flow.
  • Direct patient calls and inquiries to the appropriate department or staff member.
  • Collect, verify, and maintain accurate patient demographic, insurance, referral/authorization, and Sliding Fee Discount Program information.
  • Communicate clearly with patients regarding program offerings (Federal, State, and organizational), financial responsibilities, and required documentation.
  • Facilitate patient communication and correspondence, ensuring timely and accurate information exchange with clinical departments.
  • Verify insurance eligibility and benefits to support accurate and timely reimbursement.
  • Collect patient payments and reconcile the cash drawer to ensure accuracy.
  • Gather and report data for routine operational reporting.
  • Collaborate effectively as a team member or independently to complete assigned projects and tasks.
  • Travel as required for meetings, training, and seminars.
  • Support Harbor Care's philosophy of care, mission and organizational values in day-to-day work.

What We're Looking For


Required Qualifications

  • Knowledge of and adherence to HIPAA and 42 CFR Part 2 regulations.
  • Strong communication skills, including oral, written, and reading comprehension, with the ability to follow verbal and written instructions.
  • Excellent interpersonal, organizational, and problem-solving abilities, with strong attention to detail.
  • Ability to remain calm, professional, and adaptable in a fast-paced environment while managing competing priorities.
  • Demonstrated ability to work both independently and collaboratively in a team-oriented setting.
  • Strong customer service skills, including empathy, cultural sensitivity, and respect for diverse populations.
  • Proficiency in basic computer applications, data entry, and phone systems; ability to type at least 40 words per minute.
  • Ability to learn new systems, processes, and technologies quickly, including basic troubleshooting (e.g., telehealth platforms).
  • Basic math skills, including handling and reconciling currency.
  • Commitment to maintaining accurate and timely documentation.

 

Preferred Qualifications

 
  • Bilingual (English/Spanish or Portuguese).
  • Experience with Electronic Health Records (EHR) and Microsoft Office applications (Outlook, Word, Excel, PowerPoint).
  • Familiarity with Medicare, Medicaid, managed care, and insurance processes.
  • Knowledge of Federally Qualified Health Centers (FQHCs).
  • Experience working in nonprofit, healthcare, behavioral health, housing, human services, or other community-based setting
