OVERVIEW:
Part-Time to Near Full-Time | Oxford Office
This role is the operational backbone of our Oxford office and a trusted support resource for one of our Partners. Approximately 35 hours per week, this position blends day-to-day office operations with personal assistant responsibilities — requiring someone who is highly organized, discreet, proactive, and comfortable shifting between professional and personal tasks throughout the day.
Availability: Flexible scheduling with mandatory availability Monday–Friday, 9:00am–2:30pm. Hours beyond that window are negotiable and consistent week-to-week.
RESPONSIBILITIES:
Office Operations
- Maintain and restock office supplies, kitchen, and common areas on a routine schedule
- Manage daily lunch orders and recurring food/beverage pickups (e.g., shakes, coffee) for the team on a set schedule
- Handle mail distribution, shipping, receiving, and post office runs
- Assist with meeting and event setup, including materials and refreshments
- Support staff with basic administrative tasks as needed
- Operate standard office equipment (printer, copier, etc.)
Executive & Personal Support
- Manage the Partner's personal calendar, including scheduling and coordinating recurring weekly appointments (workouts, medical, and other standing commitments)
- Schedule and track doctor's appointments and other personal needs
- Run personal errands on behalf of the Partner and their family (e.g., pickups, drop-offs, supply runs)
- Coordinate seasonal logistics, including deliveries and supply runs to the family's boat during summer months
- Assist with planning and booking personal travel and trips
- Professionally responding and handling other miscellaneous tasks
- Serve as a reliable point of contact for vendors, service providers, and others involved in the Partner's personal day-to-day schedule
- Maintain confidentiality and professionalism at all times when handling personal and sensitive matters
SKILLS & QUALIFICATIONS:
- Friendly, professional, and trustworthy — this role involves a high degree of personal access and discretion
- Strong organizational skills with the ability to manage multiple tasks and shifting priorities
- Valid driver's license and reliable personal transportation — driving is a core part of this role
- Comfortable communicating on behalf of others (phone calls, scheduling, coordinating)
- Self-starter who can follow instructions but also anticipate needs and act independently
- Able to lift and carry light packages or boxes
- High school diploma or equivalent preferred; prior personal assistant or executive support experience a plus
