    Job Description

                
    JOB TITLE: Police Clerk Receptionist CLASSIFICATION: Non-Exempt
    REPORTS TO: Chief of Police PAY GRADE: PSS 2 / 190 Days
    LOCATION: Police Department DATE REVISED:   01/10/2018
     

    PRIMARY PURPOSE:
    Assist with daily operation of the Police Department and provide clerical services to the department.
    QUALIFICATIONS:
    Education/Certification:
    • High School diploma or GED
    Special Knowledge/Skills:
    • Proficient typing, keyboarding, and file maintenance skills
    • Knowledge of correct English usage, grammar, spelling, and punctuation
    • Basic math skills
    • Ability to use personal computer and software to develop spreadsheets, databases, and prepare correspondence
    Experience:
    • Three to five years of experience preferably in public education environment preferred
    MAJOR RESPONSIBILITIES AND DUTIES:
    1. Receive all incoming calls and transfer to appropriate staff.
    2. Prepare correspondence, memorandums, reports, requisitions, for department as needed
    3. Maintain physical and computerized departmental files.
    4. Keep up-to-date files for all department employees as needed.
    5. Maintain appropriate student records as needed.
    6. Answer incoming calls, take messages, and route them to appropriate staff.
    7. Answer incoming calls and transfer to appropriate staff that falls within level of responsibility.
    8. Maintain visitors log and issue visitor pass.
    9. Sign for all merchandise from U.P.S. and mail carrier.
    10. Sort, distribute and deliver mail, messages and fax document.
    11. Assist with preparation of materials for mailing, including preparing labels, stuffing envelopes, etc.
    12.  Compile and report time records and prepare payroll on employees as needed.
    13. Input staff and student information in computer as needed.
    14. Welcome all visitors and handle their requests or refer them to appropriate personnel.
    15. Maintain effective rapport with general public and handle any problems or concerns in a professional and courteous manner.
    16. Any and all other duties and responsibilities as assigned by the Police Chief.

    **The State Board for Educator Certification will require all first time applicants for an initial credential to be fingerprinted as part of a national criminal background check. A cost of up to $50. 00 will be charged for fingerprinting.
