JOB DESCRIPTION

JOB TITLE:               Print, Mail, and Purchasing Operations Coordinator

DEPARTMENT:       Print & Mail Center / Purchasing Office

REPORTS TO:          Director of Campus Services

PURPOSE OF POSITION:

Provide operational support to the Print & Mail Center and Purchasing Office by managing job intake, coordinating workflow, supporting financial processing, and ensuring excellent service to internal and external customers. This position plays a key role in keeping daily operations organized, efficient, and responsive.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Manage incoming job request emails and assign work to staff and student workers.
  • Direct, schedule, and support work‑study student employees.
  • Create bills and job tickets in print production software.
  • Code invoices or reassign them to appropriate departments.
  • Process weekly payments for Pencil Box, Print Shop, Purchasing, and postage accounts.
  • Send monthly reports to the Business Office.
  • Perform small print jobs as needed.
  • Provide backup support at the front counter and assist the Mail Clerk when necessary.
  • Interact with internal and external customers with professionalism and clarity.
  • Schedule meetings with campus departments, external partners, and internal team members.
  • Maintain organized filing systems and office documentation.
  • Move boxes of paper and supplies from delivery trucks (up to 50 lbs).
  • Occasionally drive across town for deliveries or pickups.
  • Troubleshoot workflow, equipment, or customer issues as they arise.
  • Encourage productivity and help team members stay on task and meet deadlines.
  • Maintain an organized, efficient, and collaborative office environment.
  • Reprioritize tasks throughout the day based on deadlines and operational needs.

 

KNOWLEDGE, SKILLS, AND ABILITIES:

  • A clear understanding and commitment to the Reformed perspective and mission of Dordt University and ability to clearly articulate and communicate the mission effectively.

  • Ability to express an active Christian commitment, which shall include identification with a local organized church that holds to beliefs that are consistent with the mission of the university.

  • Strong multitasking ability with excellent attention to detail.

  • Clear, professional communication skills.

  • Ability to work and interact well with a variety of people, including student workers, staff, faculty, and external customers. 

  • Proficiency with Microsoft Outlook, Word, and Excel.

  • Ability to learn print production software, postage systems, and office equipment.

  • Basic mathematical skills for billing and payment processing.

  • Ability to lift and move boxes up to 50 lbs.

  • Ability to stay organized and help others maintain organized workflows.

  • Problem‑solving skills and the ability to adapt to changing priorities.

  • Enjoys working on many different tasks throughout the day.

  • Ability to drive for occasional local deliveries.

  • AA or BA degree preferred but not required.

  • Experience in print, mail, purchasing, or office operations is beneficial.
