Job Description

The Program Coordinator provides essential administrative, technical, and programmatic support to the Academic Success Center, playing a key role in advancing student success initiatives across the College. This position coordinates day-to-day operations for a diverse portfolio of academic success programs, manages academic success technologies and student records, and serves as a primary point of contact for students, faculty, and staff. The Coordinator also hires and supervises peer educators supporting the Humanities and Social Studies departments, helping to build a collaborative and student-centered learning community.

 

Key Responsibilities

Program Coordination & Student Success Initiatives (50%)

  • Coordinate the day-to-day administration of academic success programs, including Faculty Advising, First-Year Tutorial, new student academic onboarding, Partners in Education, the Grinnell Science Project, second-year programming, and student leaves of absence.
  • Manage timelines, communications, documentation, and logistics to ensure programs run smoothly and meet their goals.
  • Develop, edit, and maintain program materials, webpages, forms, and correspondence to keep information clear, current, and accessible.
  • Maintain and enhance Salesforce Advisor Link (SAL) or other academic success software to support data-driven student success initiatives.
  • Contribute to the implementation of new processes and the continuous improvement of Academic Success Center programs.

Student Support & Communications (25%)

  • Serve as a primary point of contact for students, faculty, staff, and visitors, responding to inquiries and connecting individuals with the right campus resources.
  • Monitor and respond to office and program email accounts, including academic alerts submitted by faculty.
  • Support Academic Success Team processes, including academic probation, mid-term assessments, and related student success initiatives.
  • Maintain confidential student records in full compliance with college privacy standards.
  • Deliver professional, student-centered service, navigating sensitive situations with care and discretion.

Peer Education Coordination (10%)

  • Recruit, hire, train, schedule, supervise, and process timecards for Humanities and Social Studies peer tutors and mentors.
  • Coordinate peer tutoring services, including scheduling drop-in sessions and supporting departmental tutoring initiatives.

Administrative & Financial Support (10%)

  • Provide administrative support for Academic Success Center operations, including scheduling appointments, maintaining calendars, reserving meeting space, and coordinating office logistics.
  • Monitor budgets, reconcile expenditures, process purchasing transactions, and maintain accurate financial documentation in accordance with College procedures.

Additional Duties & Professional Development (5%)

  • Participate in departmental meetings, committees, professional development activities, and special projects.
  • Perform additional duties, as assigned, in support of the Academic Success Center and the Division of Academic Affairs.

Qualifications

Minimum Qualifications

  • High school diploma or GED required.
  • Three years of progressively responsible administrative, program coordination, or project management experience.
  • Experience supporting multiple programs while managing competing priorities and deadlines.
  • Proficiency with Microsoft Office Suite.
  • Strong written and verbal communication skills.
  • Demonstrated ability to manage multiple priorities with exceptional attention to detail.
  • Ability to exercise sound judgment and maintain confidentiality when handling sensitive information.
  • Strong interpersonal and customer service skills with the ability to build effective relationships across campus.
  • Ability to analyze information, identify solutions, and implement process improvements.

 

Preferred Qualifications

  • Associate's or Bachelor's degree preferred
  • Experience supporting student success, advising, or academic programs in higher education.
  • Experience with web content management and academic success or CRM software (Salesforce preferred).
  • Experience supervising student employees.
  • Demonstrated commitment to diversity, equity, inclusion, and student-centered service.
