Position Summary
FACES Program Operations Manager is an exciting new role integral to the smooth and effective operations of our three ECE centers and our out-of-school time program. The Program Operations Manager position is a full time exempt position and reports directly to the Senior Director of Child Development.
What You’ll Do
Enrollment Responsibilities
Lead a team of two to three Enrollment and Engagement Counselors to ensure warm, responsive engagement for families joining our program throughout recruitment and enrollment.
Partner with the Compliance Team and Program Leads to develop and improve efficient systems and processes.
Develop and monitor annual recruitment and enrollment plans for our center-based ECE programs and out-of-school enrichment programs to reach target enrollment based on specific funding sources.
Provide administrative oversight, including but not limited to collecting and maintaining required documentation, processing applications and eligibility certifications.
Gather and organize center-level data on openings, waitlists, and enrollment status; report enrollment summaries and partner with program leads to reach quarterly and annual goals
Research, identify, and prioritize outreach with community organizations to establish family referral pipelines; analyze effectiveness of outreach activities to inform enrollment strategy
Coordinate outreach and recruitment efforts at community events; including material, staffing, and follow-up activities.
Track, analyze, and report on factors influencing enrollment; partner with program leads to identify challenges and co-design solutions
Support Enrollment Staff in guiding prospective families from initial inquiry through program enrollment.
Work closely with the Program Team to ensure smooth child transitions throughout the enrollment process.
Nutrition Program Responsibilities
Lead team of five kitchen staff, directly supervising a Nutritional Services Supervisor and Head Cook.
Oversee the implementation and management of child nutrition services for our three centers
Ensure meal programs meet nutritional standards and align with the dietary needs of young children, including those with special dietary requirements.
Ensure compliance with federal and state regulations and reporting related to our nutrition program
Oversee systems to support meal preparation, sanitation, and food safety
Manage inventory, budgeting, and procurement of food and supplies, and kitchen maintenance.
Conduct regular evaluations of food program operations, provide training and technical assistance to staff, and prepare for and support administrative reviews and data collection to ensure compliance
Serve as the primary point of contact for licensing agencies and funders during inspections and audits.
Operations and Facilities Responsibilities
Partner with the Senior Director of Child Development, Director of Facilities, and two center-based Operations Specialists to support renovations projects, annual cleaning and decluttering efforts, and ongoing facility cleanliness across three centers.
Partner with the Senior Director of Child Development and Director of Facilities to support and oversee the emergency preparedness plans and procedures across three ECE centers.
Partner with the People Operations and Finance Team on payroll administration and employee support.
Program Compliance Responsibilities
Partner with Senior Director of Child Development and Senior Director of Contracts and Compliance to develop systems and standard operating procedures that support program compliance, including monitoring the accuracy, integrity, and collection of program data such as enrollment documentation and files, DRDP assessments, family conference schedules, attendance records, menus, and meal counts.
Partner with Senior Director of Child Development, Senior Director of Contracts and Compliance, and Senior Director of People Operations to collect, track, and monitor staffing data, including teaching credentials, documentation of required trainings, and professional development hours.
Partner with the Senior Director of Child Development and Center Leadership to ensure full compliance and timely completion of all student licensing and onboarding files, maintaining secure, accurate, and organized onsite records.
Qualifications
You have a solid mix of the following knowledge, ability, skills and experience:
Bachelor’s Degree in Early Childhood Education, Child Development, Business Administration, or a related field; equivalent combination of education and relevant years of experience will also be considered.
Experience in Early Childhood Education, childcare enrollment, and family engagement
Experience with childcare management systems and databases (e.g., NOHO).
Experience with managing and implementing enrollment systems, data tracking and reporting.
Experience in The Child and Adult Care Food Program (CACFP) operations
Experience with project development and management
Strong skills in people management and supporting team dynamics
Demonstrate cultural awareness and sensitivity in all family and community interactions.
Ability to meet required state, federal, local, and CDC standards (including but not limited to fingerprint clearance, negative TB test, First Aid, CPR)

Annual salary between $85k - $100K based on experience
