Job Description

CONCORD ENGINEERING GROUP, INC., a full-service MEP engineering, commissioning, construction management and energy consulting firm with offices in Voorhees, Linwood and NYC, is searching for a Project Administrator for our Power & Infrastructure Department located in Voorhees, NJ.



The Project Administrator is responsible for working closely with project managers (PM), senior management and the Department Head to fulfill various duties that support project execution in a timely and efficient manner. The Project Coordinator will be responsible for coordinating data in various software programs including: Deltek Vision (Project & Resource Management), Egnyte (Info Exchange), EngageZone (Project Management), Newforma (Info Exchange), PIMS (Project Management), and Procore (Construction Management).

ESSENTIAL DUTIES & RESPONSIBILITIES




General Project Coordinator Duties




  • Prepare documents for proposals, requests for qualifications, project reports and other department documents.

  • Prepare AIA contracts.

  • Assist in technical administrative tasks such as data entry, logging shop drawings and requests for information.

  • Implement and maintain construction administration project controls including shop drawings and RFI logs, etc.

  • Assist in day-to-day activities including the coordination and management of project meetings and department schedules,

  • Prepare transmittals and assist with specifications editing and formatting.

Departmental Document Control Duties




  • Maintain document control system which includes client form preparation, formatting and scanning documents, and ensuring compliance with all client document requirements.

  • Review project documentation requirements and assist/conduct documentation kick-off meetings.

  • Contribute to setting up the project specific databases.

  • Maintain project documentation requirements and documentation meta-data logs to provide status of documentation.

  • Verify technical documentation to ensure correct numbering, formatting, revisions, checking and approving, and other client expectations.

  • Input customer driven meta-data into documentation (headers / footers).

  • Prepare and submit outgoing documentation submittals.

  • Ensure timely distribution of latest revision of documents and drawings to appropriate users, ensuring that obsolete documents and drawings are removed from distribution.



REQUIREMENTS




  • Expertise in Microsoft Office, Word, Excel, PowerPoint

  • Strong organizational skills

  • Technical writing skills

  • Ability to work in fast-paced environment, multi-task and meet multiple deadlines

  • Able to read, write, speak and understand English

MINIMUM Education & Experience




  • Bachelor?s Degree (preferred)

  • Five to ten years? administrative or technical software experience, preferably with an architectural, engineering or construction firm.



COMPENSATION



The salary range for this position is $60,000 to $75,000 with actual salary based on experience.
