About the Department

Incumbents play a pivotal role in supporting the College’s strategic planning processes and Academic Affairs efforts, including activities associated with institutional accreditation; institutional research; Information technology; and collection, analysis, and reporting of information and data. 

Position Duties

  • Develop and maintain a robust database for assessment, program review, and curriculum and serve as a subject matter expert on related MDHEWD and HLC requirements
  • Collect, analyze, and review data to facilitate Federal, state, and institutional reporting; submit data and reports to appropriate personnel, departments, and/or agencies to support management decision making, to provide timely and accurate information to administration, and facilitate other departmental operations 
  • Prepare and distribute internal and external ad hoc data requests and coordinate with applicable parties to collect information
  • Collect, prepare, reconcile, review, verify, and/or maintain comprehensive information, data, documents, and records; ensure information accuracy and compliance with applicable standards, policies, and procedures
  • Develop and maintain systems for tracking assessment, program review, and curriculum documentation while keeping the Executive Director of Curriculum and Assessment and the Accreditation Liaison Officer apprised of data and information
  • Prepare, edit, proofread, review, print, process, maintain, and/or submit correspondence, reports, records, certificates, forms, letters, pay sheets, training schedules, contracts, payroll, and other general and financial documents; ensure information accuracy and compliance with applicable laws, standards, policies, and procedures; work may also include performing quantitative data analysis when necessary
  • Process, monitor, review, and/or reconcile invoices, accounts, check requests, invoices, purchase orders, reimbursements, deposits, receipts, and IT or other tickets or requests; contacts personnel/ departments/agencies via phone or email to collect payment dues or facilitate assigned operations 
  • Coordinate with the Executive Director of Curriculum and Assessment the Academic Catalog, the Faculty Handbook, and the Curriculum handbook to ensure accuracy and compliance with applicable standards, policies, and procedures
  • Collaborate with and/or serve as a liaison to other institutions or agencies, to facilitate research projects, implement data changes and input methods to maintain data integrity; and facilitate related departmental operations
  • Schedule and coordinate appointments, reservations, meetings, workshops, trainings, or other events/activities; maintains calendars; prepare meeting agendas; transcribe meeting minutes; set up rooms/lab facilities; and coordinate with program participants and other relevant individuals
  • Plan and implement events, to include preparing promotional and other materials; managing enrollment processes; coordinating with event participants, vendors, media, and other parties; and performing other operations related to planning and organizing events/orientations/programs
  • Maintain and update departmental systems or databases; update websites and social media accounts; and provide technical support, to include training end-users on system operation, and troubleshooting basic technical issues
  • Perform customer service duties to include providing program/department information, referrals, or other services to students, staff, and other visitors; greeting and directing visitors, students, or staff to appropriate personnel/departments; and answering telephones
  • Coordinate and collaborate with internal and/or external personnel, departments, and agencies, when necessary, to communicate information, serve as a liaison, provide assistance or information, represent the College/department, maintain effective working relations, and facilitate event and departmental operations
  • Perform office management duties to include maintaining inventory; ordering supplies; and sorting and distributing mail
  • Perform other duties as assigned

Minimum Qualifications

Minimum Qualifications:

  • Bachelor’s degree*
  • Two (2) years of experience in clerical/administrative support or related area
*Minimum Education Qualification can be substituted with an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job

Preferred Qualifications:
  • Master's degree

Physical Requirements
Positions in this class typically require grasping, hearing, keyboarding, reaching, repetitive motion, standing, talking, visual acuity and walking. The work is sedentary and requires exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly.
