Job Description

The Project Coordinator - Clients Accounts plays a critical role in supporting multiple managers and senior (Director-level) executives. This position requires exceptional attention to detail, strong organizational skills, and the ability to proactively anticipate needs with minimal supervision. The ideal candidate will bring experience in project management, including proficiency in developing work plans and business proposals, tracking progress, weekly submission of time entries, coordination with client(s), and ensuring timely execution of key initiatives.

This role is also responsible for preparing and delivering regular updates to management, ensuring alignment with organizational priorities and strategic objectives. As a trusted partner, the Project Coordinator - Clients Accounts will effectively manage evolving priorities, coordinate complex calendars, and travel arrangements, and facilitate clear and consistent communication across teams.

How you can make an impact:

  • Build and maintain strong client relationships through proactive communication and effective issue resolution.
  • Collaborate with managers and clients to define project requirements, scope, and objectives aligned with organizational goals.
  • Coordinate internal and external stakeholders to ensure projects are delivered within scope, schedule, and budget.
  • Develop and maintain a project performance database to track progress and milestone achievement.
  • Communicate project risks and outcomes to appropriate management channels and escalate issues in accordance with project plans.
  • Oversee project financial performance, including budgeting, forecasting, invoicing, profitability tracking, revenue projections, and updates across multiple timekeeping systems.
  • Develop, negotiate, and manage change orders, scope adjustments, and contract amendments.
  • Attend meetings as required; document and distribute clear meeting minutes, track action items, and coordinate project timelines and logistics end-to-end.
  • Prepare executive-level communications, reports, presentations, and spreadsheets with clarity and professionalism; serve as an authorized proxy for communications and approvals when required.

 

Bring your passion, here's what’s needed:

  • 5+ years of equivalent experience in project coordination
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, SharePoint).
  • Experience utilizing AI and automation tools responsibly to enhance quality, productivity, and innovation.
  • Exceptional organizational, time management, and prioritization skills, with strong diligence and follow-through.
  • Demonstrated ability to adapt to shifting priorities and manage last-minute changes with composure and clear communication.
  • Strong written and verbal communication skills.
  • Proven ability to anticipate the needs of supported executives and act proactively.
  • Capability to represent executives both internally and externally with an elevated level of professionalism.
  • High degree of discretion and a demonstrated ability to manage confidential information with integrity.
  • Strong interpersonal skills with experience engaging cross-functionally with internal stakeholders and external partners.
  • Demonstrated success in managing business travel logistics, event coordination, and executive calendar management.

Location: This position will be remote US or Canada

Travel:  Occasional travel may be needed (10% or less)
