Job Description
Project Coordinator | RISE Construction | Multifamily Construction

A subcontract is waiting for execution.
A permit package needs to be filed.
An invoice can't be processed because documentation is missing.
A closeout package is due.
The Project Manager is focused on driving the project forward.
The Superintendent is focused on executing in the field.
Someone has to ensure the details don't get missed.
That's where this role comes in.

We're hiring a Project Coordinator to support construction operations across multiple projects by managing documentation, maintaining project systems, coordinating administrative processes, and helping ensure projects stay organized from startup through closeout.
The best Project Coordinators understand that successful projects aren't built on drawings alone.
They're built on execution, communication, and attention to detail.

What This Role Really Is
This is not a clerical position.
And it's not simply document filing.
This role sits at the intersection of:
  • Construction Operations
  • Contract Administration
  • Project Documentation
  • Financial Coordination
  • Project Closeout
You'll work closely with Project Managers, Superintendents, Accounting, and Executive Leadership to ensure project information is accurate, organized, and available when it's needed.
Your work directly impacts the efficiency of the project team.

Who This Role Is For
This role is for someone who:
  • Thrives in highly organized environments
  • Enjoys creating structure and consistency
  • Takes pride in accuracy and follow-through
  • Can manage multiple projects and priorities simultaneously
  • Understands the importance of documentation and compliance
  • Communicates effectively with both field and office teams
  • Wants to build a long-term career within construction operations

Who This Role Is NOT For
This role is probably not a fit if:
  • You dislike detailed documentation and administrative processes
  • You struggle to manage multiple deadlines simultaneously
  • You prefer highly repetitive work with little change
  • You need constant supervision to stay organized
  • You view construction documentation as paperwork rather than a critical part of project execution
We're looking for someone who understands that great projects are supported by great systems.

What You'll Be Responsible For
Project Documentation & Records Management
  • Preparing, organizing, and maintaining project documentation
  • Managing Procore and OneDrive project files according to company standards
  • Tracking and maintaining executed contracts, purchase orders, change orders, and project records
  • Maintaining project directories, contact information, and documentation systems
  • Supporting project archiving and records retention processes
Project Startup & Administrative Coordination
  • Coordinating project startup activities and setup requirements
  • Establishing project folders, templates, and administrative systems
  • Supporting permit tracking and regulatory documentation
  • Coordinating job trailer setup and startup logistics
  • Assisting project teams across multiple active projects
Financial & Contract Administration
  • Supporting invoice processing and documentation requirements
  • Assisting with subcontractor documentation and compliance tracking
  • Supporting Schedule of Values administration and invoice monitoring
  • Coordinating project documentation required for accounting and financial processes
Project Closeout & Turnover
  • Coordinating collection of warranties, manuals, as-builts, and turnover documents
  • Managing closeout documentation requirements
  • Supporting utility transfer coordination
  • Assisting with final billing and subcontractor closeout activities
  • Tracking final lien releases and project turnover requirements

Technology & AI Matter Here
This role relies heavily on systems, accuracy, and information management.
You should be comfortable working within:
  • Procore
  • Sage 300 / Timberline
  • Microsoft Office Suite
  • OneDrive and cloud-based file management systems
We also value professionals who leverage technology and AI tools to improve efficiency, organization, communication, and project support.
