Job Description

SUMMARY: The Project Manager plans, coordinates, and drives cross-functional projects from initiation through completion in support of company priorities. This will include the evaluation, planning and implementation of a new ERP software platform that will migrate the company from the current legacy system to a modern, integrated platform capable of supporting organizational and functional growth while minimizing loss of key capabilities of the current system. This position works with executive leadership, department leaders, store operations, IT, Accounting, Merchandising, HR, vendors, and other stakeholders to define scope, timelines, responsibilities, risks, decisions, and deliverables. The Project Manager ensures projects are well organized, clearly communicated, timely escalated when needed, and completed in a practical, supportable manner for a multi-site retail environment.


ESSENTIAL FUNCTIONS:

  • Project Planning and Execution
    • Develop and maintain project charters, workplans, timelines, milestones, deliverables, action-item trackers, risk logs, and status reports.
    • Clarify project scope, objectives, success measures, resource needs, dependencies, assumptions, and decision-making authority at the start of each project.
    • Coordinate project meetings, agendas, notes, next steps, assignments, deadlines, and follow-up to keep projects moving and accountable.
    • Monitor progress against scope, schedule, budget, and business requirements; identify issues early and recommend practical solutions or escalation paths.
  • Cross-Functional Coordination and Communication 
    • Serve as the central point of coordination among departments, stores, vendors, and leadership for assigned projects.
    • Confirm stakeholder alignment, clarify roles and responsibilities, document decisions, and ensure unresolved issues are elevated to the appropriate decision-maker.
    • Communicate project status, risks, changes, and decisions in a clear and timely manner to technical and non-technical audiences.
    • Build effective working relationships and promote cooperation among project participants, including team members who do not directly report to the Project Manager.
  • Business Process and Change Management
    • Partner with departments to understand current processes, identify operational impacts, document workflows, and support practical process improvements.
    • Coordinate testing, pilot planning, training needs, user readiness, rollout plans, and post-implementation follow-up for system, operational, and process changes.
    • Maintain project documentation, SOPs, lessons learned, and transition materials so completed projects can be supported by the appropriate department or process owner.
  • Vendor, Budget, and Risk Coordination
    • Coordinate with vendors, consultants, and internal stakeholders regarding project deliverables, schedules, open items, service expectations, and documentation.
    • Track project-related costs, purchase requests, approvals, and budget assumptions in coordination with the appropriate department leader.
    • Identify operational, financial, compliance, security, and customer-service risks associated with assigned projects and help develop mitigation plans.

SUPERVISORY RESPONSIBILITY:

  • This position generally has no direct supervisory responsibility unless otherwise assigned. The Project Manager leads project teams through influence, coordination, accountability, and communication, and may provide functional direction to employees, vendors, consultants, or temporary project resources assigned to specific projects.


QUALIFICATION REQUIREMENTS:

  • Bachelor’s degree in Business, Project Management, Information Systems, Operations, or a related field preferred; equivalent combination of education and experience may be considered.
  • At least 5 years of progressively responsible project coordination or project management experience; experience in retail, distribution, multi-site operations, business systems, or process improvement preferred.
  • Experience managing cross-functional projects involving multiple departments, vendors, competing priorities, operational change, and executive-level reporting.
  • Working knowledge of project management practices, including scope management, scheduling, risk and issue tracking, change management, meeting facilitation, documentation, and stakeholder communication.
  • Proficiency with Microsoft Office, Google Workspace, spreadsheets, shared documents, and project/task tracking tools; familiarity with ERP, POS, inventory, accounting, or retail systems preferred.
  • Project Management Professional (PMP), Certified Associate in Project Management (CAPM), or similar certification preferred but not required.
  • Ability to translate business needs into practical plans, prioritize competing demands, manage change, and communicate clearly with technical and non-technical audiences.
  • Demonstrated judgment, confidentiality, analytical problem-solving, leadership, customer-service orientation, and ability to work effectively with executives, managers, vendors, and end users.
  • Valid driver’s license and clean driving record required for store visits, vendor meetings, and other business travel.

PHYSICAL DEMANDS:

  • Ability to remain stationary for extended periods while working at a computer or workstation.
  • Ability to move about office and other work locations as needed.
  • Ability to position self to access equipment in standard office and workstation environments, which may include bending, crouching, reaching, or kneeling. 
  • Ability to lift, carry, push, or pull equipment and materials of up to 20 pounds on an occasional basis.


LOCATION:

  • The location for this position is Honolulu, HI. This is a 100% in-office, on-site role. Remote or hybrid options may be available at management’s discretion.


WORK CONDITIONS:

  • The position generally works in a professional office environment, though may require periodic visits to stores and warehouses. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and virtual communication tools.

 

TRAVEL:

  • Occasional local and domestic travel, including Neighbor Islands and U.S. mainland, to support Company locations, site activations, vendors, and business objectives.


EXPECTED HOURS OF WORK:

  • Monday through Friday, 8:00 a.m. to 5:00 p.m. 
  • Flexibility required for after-hours support, on-call responsibilities, projects, weekends, and emergencies as business needs dictate.
  • Must work a minimum of 40 hours each week.
