Job Description

The Project Resource Specialist supports the Project Management Office (PMO) by maintaining visibility into project resource demand, workforce capacity, and resource constraints across the enterprise project portfolio. This role enables informed portfolio planning and governance decisions by ensuring proposed and active work is realistic, appropriately resourced, and aligned with strategic priorities. The Project Resource Specialist works with project managers, department leaders, and the Enterprise Project Portfolio Manager to support resource planning. This role develops and maintains resource data, reporting, and scenario models to provide visibility into demand, availability, and constraints across the project portfolio.

What you’ll be doing:

Resource Data Visualization

  • Maintain an enterprise view of project resource demand, availability, and capacity across departments, teams, roles, and skillsets
  • Support the administration and maintenance of the organization’s resource planning tool, ensuring reporting is reliable and usable for portfolio governance needs
  • Develop and maintain standard reports, dashboards, and visualizations for resource planning metrics

Resource Planning & Decision Support

  • Gather, validate, and track resource needs for proposed, approved, and active projects to support resource planning activities
  • Analyze and highlight resource constraints, over-allocation risks, skill gaps, timing conflicts, dependencies, and competing demands across the project portfolio
  • Build and maintain capacity models, resource plans, demand forecasts, and scenario analyses to support resource planning and portfolio reporting

Governance Support & Continuous Improvement

  • Provide resource planning data to support portfolio governance and stage gate review processes
  • Support standards, cadence, and data quality expectations for actual time entry to enable accurate resource utilization reporting, future project estimation, and portfolio capacity planning
  • Prepare analysis to support resource planning discussions, and assist in improving resource management practices, tools, templates, data quality, and reporting
  • Perform other duties as assigned

You’ll need:

  • Bachelor’s degree in business, operations, project management, analytics, or a related field, or equivalent experience
  • 3–5 years of experience in project coordination, resource planning, workforce planning, analytics, or PMO support, preferably in a project-based environment
  • Strong analytical, organizational, and problem-solving skills, with the ability to interpret data and translate it into clear, actionable insights
  • Proficiency with Microsoft Excel and Microsoft Office tools; experience with project management, portfolio management, or reporting tools is preferred
  • Experience working with project plans, resource data, capacity models, or portfolio reporting
  • Familiarity with portfolio governance, project intake, or stage gate processes
  • Strong communication skills with the ability to clearly convey analytical insights to stakeholders
  • CAPM, PMP, PMI-PMOCP, or related certification preferred
