Job Description

Wage Rate: $29.61 to $38.59 per hour

General Function

Under the general policy and supervision of the Director of Business Development, this role is responsible for routine agreement compliance and properties related issues, focusing on administration, monitoring and compliance of aeronautical and non-aeronautical agreements and programs across airport-owned properties and facilities. The position supports airport business development initiatives through effective agreement administration, tenant relations, and contract compliance monitoring.

Major Duties and Responsibilities

1.  Agreement/Tenant Management

 a.        Assists the Director of Business Development and the Vice President of Properties and Concessions in the performance of all necessary functions to facilitate routine property management functions including drafting renewal agreements, issuing agreements to new and existing tenants, interpreting agreement language, managing and coordinating the move in and move out procedures of tenants, maintaining a database of agreements, calculating rate adjustments, and assisting other departments in collection efforts as needed.

b.        Creates, promotes, and builds tenant relations with internal and external business partners.

c.        Organizes and maintains business software for billing, reporting, insurance, and security deposit tracking purposes.

d.        Coordinates documentation with leasehold improvements for tenants and all applicable Authority departments to ensure compliance with the agreement terms and the Authority’s rules and regulations.

e.        Monitors and resolves complaints and inquiries from internal and external stakeholders and the general public.

f.         Coordinates with legal counsel, finance, operations, and other departments regarding agreement administration and compliance issues.

 2.    Agreement   Compliance

a.        Effectively communicates agreement compliance requirements to tenants and business partners in a timely manner. Ensures all agreement notification requirements are developed and implemented accurately.

b.        Reviews and monitors terms and conditions of agreement files. Maintains accurate records and databases related to compliance of agreements and timely renewals, expirations, and terminations.

c.        Monitor tenant and operator compliance with contractual obligations, including reporting requirements, insurance certificates, fee payments, maintenance obligations, and operational standards.

d.        Conduct periodic reviews and audits of agreements to ensure compliance with airport policies, regulations, and contractual provisions.

e.        Support airport property inspections, document findings related to tenant obligations and property conditions and facilitate and oversee plans for compliance.

3.   Administration and Board Support     

a.        Assist the Chief of Staff in preparing materials, agendas, resolutions, and supporting documentation for board and committee meetings.

b.        Coordinate the review, routing, and processing of agreements requiring board approval.

c.        Maintain records of board actions, resolutions, and related documentation.

d.        Ensure compliance with applicable public meeting requirements, record retention standards, and governance procedures.

 4.      General Responsibilities  

a.        Files - Maintains inventory and organization systems for Properties Department’s documents and records systems.

b.        Office Administration - Develops and maintains Authority’s contact database. Distributes regular updates to internal and external business partners.

c.        Assists in gathering department records for open records requests and assists other departments as needed for various projects and tasks.

Communication with Others

Must be able to communicate professionally with internal and external audiences including but not limited to, staff, business partners, tenants and members of the public. Excellent interpersonal, negotiation and conflict resolution skills. Demonstrates strong verbal and written skills. Demonstrates a positive attitude and maintains a professional, working relationship with all employees of the organization and the Authority’s business partners, tenants, vendors, and the public.

               

Employment Qualifications

  • Must possess a valid driver’s license and maintain appropriate Authority driving and escort privileges in the secure areas of the airport.
  • Knowledge of commercial real estate principles, lease administration, and contract management.
  • Understanding of airport operations, aviation businesses, and airport property management practices.
  • Ability to interpret and administer complex agreements and legal documents.
  • Strong organizational skills with attention to detail and accuracy.
  • Ability to manage multiple projects, deadlines, and stakeholder relationships simultaneously.
  • Excellent written and verbal communication skills, ability to handle confidential information and a high degree of professionalism.
  • Ability to work independently, exercise sound judgment and adhere to schedules and deadlines as required.
  • Proficiency with Microsoft Office Suite and contract management or property management software.
  • Strong mathematical, problem-solving and analytical skills with the ability to perform lease calculations, rate and fee calculations, escalations, reconciliations, and other financial analyses.
  • Ability to analyze financial reports, operating statements, and contractual payment provisions to ensure compliance and accuracy.

Employment Standards/Education and Experience:

1.        Bachelor’s degree in airport management, public/business administration, finance, accounting, or closely related field and one year of experience in airport management, property management/agreement administration and compliance, real estate administration, or a closely related field.

2.        At least one (1) year of airport management or administrative work related to tenant coordination, agreements, agreement compliance, real estate, or a closely related field is required. Responsible for performing all job duties with due regard to safety and security requirements.

 Physical/Environmental Requirements:

Activities and events will require the employee to be able to navigate all areas of Airport Authority property and will involve assignments that are outdoors. Must be capable of being on one’s feet for an extended period and lifting 30 pounds unassisted. This class specification should not be interpreted as all inclusive.
