About the Department

General Statement of Job

 

The Purchasing Technician position requires excellent computer skills to purchase, process, distribute, track, and maintain records on all Sheriff’s Office property. A financial software and Excel spreadsheets are used to track and compile data for annual inventories, end of year balances, report processing, and budgeting.  Good inter-personal skills are needed when working with internal customers and external vendors.   Some accounting skills are helpful to performing cost comparisons, inventory audits, and balances.  Duties also include all incidental support activities required to accomplish the responsibilities of this position.  In addition, other duties may be assigned as needed. Purchasing Technician will report directly to the Purchasing Manager.

Specific Duties and Responsibilities

Essential Functions:

The duties of the Purchasing Technician include but are not limited to:

  • Prepare and solicit quotes for products and services
  • Process approved agency requisitions for needed products and services
  • Work closely with vendors, accounts payable, and end users to resolve issues related to order fulfillment, product quality, and invoicing
  • Prepare vouchers, requisitions, and purchase orders for Purchasing supplied items
  • Process internal office supply orders from Purchasing stock items
  • Assist internal walk-in customers
  • Process uniforms and fixed assets for new, transferring, promoting, and separating employees
  • Replace approved uniform items and fixed assets for employees as needed
  • Process returned items and sort between stock, donate, or for destruction according to condition and agency needs
  • Issue and track Narcan units to authorized employees
  • Maintain accurate uniform and fixed asset inventory files for all employees
  • Run uniform and fixed asset inventory reports and conduct audits upon request
  • Conduct annual inventories on all uniforms and fixed assets
  • Enter all fixed asset status update sheets
  • Balance fixed assets and run all required reports for fiscal year end closing
  • Receive and process outside deliveries
  • Prepare and log packages for shipping
  • Send agency equipment out for warranty repair
  • Maintain purchasing stock areas

 

 

Must maintain an orderly and clean working environment.  Member is expected to use self-directed work time in an efficient manner with priority on tasks assigned to this position.  The member is expected to accept the responsibility for knowing his/her routine job assignments and perform them in a timely manner.

Minimum Qualifications

Minimum Education and Training

 

High School Diploma or GED; or one to three years related experience and/or training; or equivalent combination of education and experience. Associates Degree preferred.

Physical Demands: 

Tasks are performed mostly inside and require some lifting, pushing, pulling, and carrying of moderately heavy loads.  Equipment is available to assist with the physical aspect of the tasks.

The majority of tasks are performed indoors.

Removal can be with or without fault of the jobholder or the agency.  Economic conditions that cause reductions in work force, the member’s inability to attend regularly to work, chronic illness, and a failure to perform competently on any of the critical tasks of the position or a consistent failure to perform competently on regular tasks are among the major reasons for job removal without fault.  Failure to support the agency’s mission, uphold the oath of office, behave in manner that supports the Sheriff’s Office Code of Conduct, continually comply with preconditions for original employment, or to display due regard for the civil liberties of any persons will lead to removal with or without fault.  In addition, accruing atypical amounts of dysfunctional work time or requiring atypical amounts of supervisory counseling or remedial training will lead to removal with or without fault.  (Pursuant to section IX of the rules and regulations)

Employee must complete 8 years to become vested.  In addition to the FRS Pension Plan, we also have an FRS Investment Plan, in which an employee must complete 1 year to become vested.  Employees are required to pay 3% into their FRS retirement regardless of which plan they choose.
